Workflows & automation

“I forgot to call him back.” “Nobody chased that invoice.” “The quote sat for a week.” Most of what slips in a small business is a reminder nobody sent. A BizOS automation is one sentence: when something happens → check a few things → do something. Turn a few on and BizOS chases overdue invoices, thanks customers, nudges quotes and rescues idle leads while you work.

Where do I find automations?

Automations sit under Grow → Automations in the web app. The page lists each automation with its trigger, an on/off switch, how many times it has run and when it last ran. Owners, Admins and Managers can build, edit, pause, test and delete automations; other fixed roles do not see the page. See Roles & permissions.

For the everyday customer messages (payment reminders, invoice and quote sent, job updates, delivery reminders) you do not need an automation at all: they are switches under Settings → Customer messages → Automatic messages. Build an automation when you want your own rule, such as a birthday wish or a three-step payment escalation.

Start from a template

The Automations page offers five ready templates. Each is one tap to install and fully editable afterwards:

Invoice overdue reminder

A WhatsApp reminder to the customer three days after the due date.

Follow-up due today

An in-app note to the owner for every follow-up due today.

Job completion WhatsApp

A thank-you on WhatsApp when a job is marked done.

Payment thank-you

A WhatsApp thank-you the moment a payment comes in.

Quote sent follow-up

A follow-up for you two days after a quote goes out, to check it reached the customer.

Which events can start an automation?

Forty triggers. Sweeps (marked daily) are checked once each morning, IST, rather than the moment something happens.

AreaTriggersFires only while you have
PaymentsPayment receivedBilling
QuotationsSent, accepted, rejected, approval requestedBilling
InvoicesCreated, overdue (daily), fully paidBilling

Sweeps are idempotent: a re-run on the same day cannot send twice. The invoice-overdue, follow-up and contract sweeps run at 07:00 IST; the others run later in the morning.

Invoice Overdue fires every day

The Invoice Overdue sweep fires once a day for every invoice that is still unpaid past its due date, from the day count you set onwards. An automation that sends a WhatsApp on it will send one every day until the invoice is paid. For a single reminder or a sequence that starts once, add the condition Days overdue equals 3 (or your number).

Conditions: the “check”

Conditions are optional filters that decide whether the actions run. A condition reads a field the trigger carries (the invoice total, the customer’s tags, the lead’s pipeline or source, the days overdue, the job’s stage, the feedback rating, the branch on a sales order, or one of your custom fields) and compares it with an operator that suits its type. Join several with AND or OR.

The builder shows labels, never raw field paths. A WhatsApp variable that could not be filled at send time is refused when you save, not discovered weeks later as a message with a hole in it.

Actions: the “do”

GroupActionWhat it does
MessagingSend WhatsAppAn approved template, with your own variable mapping
MessagingSend SMSA DLT-approved template
MessagingSend emailA templated email
MessagingNotify in appFree text with {{field}} values, to the owner or a chosen person; it also pushes to their phone and browser (Notifications)
RecordUpdate recordMove a lead or job to a stage, assign it, set a lead’s priority, add or remove a lead tag, or set a custom field on a lead, customer, job, quotation, invoice or contract
Tasks & flowCreate follow-upWith an assignee, a due-in-days offset (up to 365) and an optional “not again within N days” window
Tasks & flowCreate jobOn a chosen stage, with an assignee and a schedule offset
Tasks & flowWaitOne minute to 90 days, with a quiet-hours switch
Tasks & flowStop ifRe-reads the live record and ends the run if up to ten conditions match
ExternalCall webhookHTTPS POST of the trigger data, optionally HMAC-signed

Recipients can be the owner, the customer, the lead, a specific team member, or a phone number (fixed, or taken from the event, such as the phone posted by another system).

When you save, BizOS checks each action against your own access: you cannot build an automation that assigns leads, books jobs or sends WhatsApp if your role cannot do that by hand, and only an Owner or Admin can add a webhook.

Why customer messages use templates

WhatsApp and SMS to customers must use approved templates. That is Meta and DLT policy, not a BizOS restriction. Free text is available where it is allowed: in-app notifications, follow-up titles and job descriptions.

How do I build a payment reminder sequence that stops when the customer pays?

Multi-step sequences with a wait and a stop if guard are what collect money without annoying people who already paid:

  1. 1

    Pick the trigger

Choose Invoice Overdue. It fires on the daily sweep for each unpaid invoice past its due date.

  2. 2

    Start it once

Add the condition Days overdue equals 3, so the sequence starts on the third day overdue instead of every day.

  3. 3

    Send a gentle reminder

Add Send WhatsApp with an approved template carrying the invoice number, the balance due and the pay link.

  4. 4

    Wait 4 days

Add a Wait. The run parks and resumes on schedule, moved to 9 am IST if it would end overnight.

  5. 5

Stop if it has been paid

Add Stop if with Invoice status equals Paid. The step re-reads the live invoice, so a customer who paid in the meantime gets nothing more.

  6. 6

    Send a firmer reminder

Add a second Send WhatsApp with a different template, so the second message does not read like the first.

  7. 7

    Hand it to a person

Add Create follow-up assigned to the owner, so a human makes the next call.

The stop if step is the difference between automation people trust and automation people switch off.

Will an automation message my customers at night?

Two things control timing:

  • Wait steps respect quiet hours by default. A wait that would end between 9 pm and 9 am IST resumes at 9 am. The switch is on each Wait step (“Quiet hours (9 pm – 9 am IST)”), so you can turn it off for an internal reminder.
  • An instant trigger acts when the event happens. A payment thank-you goes out when the payment is recorded, even late in the evening. If that matters, put a short Wait with quiet hours on before the message.

How do I know an automation is working?

Open an automation to see its runs; open a run to see every step: what executed, what was skipped, what failed and why, with timestamps.

  • Test run fires the automation with sample data, so you can check it before real customers are involved.
  • A run that fails part-way resumes after the last step that succeeded, so messages that already went are not sent again.
  • Pausing keeps the history; deleting removes the automation and its past runs.
  • When a trigger’s module is not on your plan (leads without CRM & Leads, jobs without Jobs, rentals without Rentals), that trigger simply does not fire, and a Create job step is skipped without Jobs. You can always switch an automation off.

Connect BizOS to other software

The Call webhook action POSTs the trigger data to an HTTPS address you control, optionally signed with a shared secret (HMAC-SHA256 in the X-BizOS-Signature header) so your system can check it came from BizOS. Private and local network addresses are refused.

The other direction is Event from another system: your website, a school portal or an ERP posts a named event (for example fee_overdue or order_shipped) with an API key. Conditions select on the event name and any value in its payload, and a WhatsApp action can use a phone number carried in the payload.

Plan availability

Building your own automations comes with the Billing base. Each trigger also needs the module that produces it, as in the table above. See Plans & pricing.

Common questions

Can BizOS chase overdue payments automatically?
Yes, in two ways. BizOS sends built-in payment reminders on set days around the due date; they are on by default and can be changed under Settings, Customer messages, Automatic messages. For a multi-step escalation that stops when the invoice is paid, build a BizOS automation on the Invoice Overdue trigger with wait and stop-if steps.
How many triggers and actions do BizOS automations have?
BizOS Automations has 40 triggers, covering payments, quotations, invoices, follow-ups, customers, leads, jobs, AMC contracts, equipment, deliveries, sales orders, rentals and events from another system, and ten actions: send WhatsApp, SMS or email, notify in app, update record, create follow-up, create job, wait, stop if and call webhook.
Will a BizOS automation message my customers at night?
A Wait step in a BizOS automation that would end between 9 pm and 9 am IST resumes at 9 am by default. A message directly after an instant trigger, such as a payment thank-you, goes when the event happens, so add a short wait with quiet hours on if you want it held until morning.
What happens if a customer pays halfway through a BizOS reminder sequence?
A stop-if step in a BizOS automation re-reads the live invoice before the next message and ends the run when the condition matches, so the customer is not chased for money they already paid.
Can I send a WhatsApp message with my own wording from a BizOS automation?
Messages to customers must use a template approved by Meta. In BizOS you can write your own custom templates on your own WhatsApp Business number and choose which business field fills each variable. Free text is available for in-app notifications, follow-up titles and job descriptions.
Can BizOS automations talk to other software?
Yes. The BizOS Call webhook action posts the trigger data to an HTTPS address you control, optionally HMAC-signed. In the other direction, another system can post a named event with an API key to start a BizOS automation.
Who can create automations in BizOS?
In BizOS the Owner, Admin and Manager roles can build, edit, pause, test and delete automations. Accountant, Office staff and Field technician roles do not see the Automations page. Adding a webhook action needs an Owner or Admin.
Where did my old lead pipeline rules go in BizOS?
BizOS lead rules now live in Automations. Older pipeline rules were moved there with a [Lead] prefix; new ones use a lead trigger such as created, stage changed, won, lost or idle, with a Pipeline condition.
