Campaigns (WhatsApp broadcasts)
“I want to send the Diwali offer to everyone who bought from me last year, without spamming the people who said stop.” A campaign in BizOS is one approved WhatsApp template sent once to an audience built from your own bills, leads and journeys. Before you press send, BizOS tells you exactly who will get it and who was left out and why. Afterwards it shows who bought, next to what the same people would have bought anyway.
How do I send a WhatsApp offer to my customers?
Open Campaigns → New campaign. The builder has three parts: Name it, Who gets it and What it says.
- 1
Name it
Give the campaign a name such as "Diwali offer, regulars". Only your team sees this name.
- 2
Choose who gets it
Pick Customers, Leads or Upload a list. Start from a preset such as recent buyers, customers who have not bought in six months, top customers by value, a customer journey stage or a lead board stage, then narrow it with filters such as tag, city or what they bought.
- 3
Read who will actually get it
BizOS counts the audience and shows every exclusion: duplicates merged, opted out, messaged too recently, no valid number. Nothing is dropped silently.
- 4
Pick the template and fill its blanks
Choose an approved template on your number. Slots can read the person (name, city) and your business; the offer, the occasion or the last date are typed once as fixed text and sent the same to everyone. BizOS refuses to send while a slot is empty.
- 5
Save the draft and send yourself a test
On the campaign page, send a test to up to five numbers to see exactly what customers will receive.
- 6
Send, pause or cancel
Press Send now. You can pause and resume between messages, or cancel the rest; the result of every recipient is kept.
The Campaigns page also suggests campaigns from your own records, for example an upcoming festival crossed with who bought around the same festival last year, customers who have gone quiet, and services coming due.
Can I send to a list from Excel?
Yes. Upload a list takes a CSV or Excel file of up to 5 MB and 5,000 rows. Pick the phone column and, if you have one, the name column; every other column can fill a template slot. A 10-digit number starting 6–9 is read as Indian; other numbers must carry their country code. You must confirm that these contacts agreed to hear from you, and BizOS stores that confirmation with your name and the time. It records your word; it cannot check the contacts' consent for you. Uploaded lists cannot be filtered further, reused or followed up from results, and their cell values are deleted 30 days after the campaign ends.
Which templates can a campaign use?
Any approved template on your own number. Each is tagged with its category. A marketing template is held to the marketing rules (opt-outs from offers and the frequency cap); a utility notice such as "closed on Monday" can also go to a campaign audience. Every campaign starts within 10:00–20:00 IST. Templates are managed under WhatsApp templates.
Who is left out, and why?
| Exclusion | What it means |
|---|---|
| Duplicate merged | The same phone number appears more than once (for example a lead who became a customer). One message goes out. |
| Opted out | The person replied STOP, was opted out on their customer page, or refused marketing on WhatsApp's side. |
| Recently messaged | They already got the maximum marketing messages in the last 30 days. |
| No valid number | No phone, or not a valid mobile. |
These checks run twice: when the audience is built, and again for each message as it goes out. Someone who replies STOP while the campaign is waiting is not messaged.
What does each result mean?
| Result | Meaning |
|---|---|
| Sent / Delivered / Read | The normal WhatsApp ticks, updated as WhatsApp reports them. |
| Limited by WhatsApp | WhatsApp's own per-person marketing limit held the message back. Not charged; it can be tried again after a day. |
| Skipped | Opted out, or held back by your own frequency limit. When WhatsApp tells BizOS a person refused marketing, BizOS records it so no later campaign tries again. |
| Failed | A delivery error, with the reason shown. |
Replies arrive in Chats like any other message.
Did the campaign lead to sales?
The results page answers "Did it lead to sales?" with three figures: Bought after (recipients who bought, or for leads were won, within the window), Would anyway (what the same people did in comparable stretches before the campaign) and the Difference. The window is 7, 14 or 30 days (14 by default). BizOS calls this "influenced", never "caused", and shows a negative difference when there is one. Members who may not see money see the counts without the rupee amounts.
From a sent campaign you can make a follow-up draft for one group: Didn't open it, Read it but didn't reply, Replied or Didn't get through. The follow-up goes to exactly those people, not a fresh run of the original filter.
Can I use my customers as a Facebook or Instagram ad audience?
Yes. Campaigns → Facebook audiences builds a group of customers or leads with the same audience builder and sends it to your Facebook ad account as a Custom Audience. Use it to show ads to a group, to leave existing customers out of ads, or to Find similar people (a lookalike of 1% of India, once at least 100 people were uploaded).
- 1
Connect Facebook and pick an ad account
In Settings → Connections & AI → Lead sources → Meta Lead Ads, click Continue with Facebook, then choose your ad account under Send lead results to Facebook.
- 2
Confirm you may use your customers for ads
The owner or an admin confirms once that the business has its customers’ permission to use their details for advertising. Nothing syncs until this is done.
- 3
Build the audience
Choose customers or leads and a segment, exactly as for a WhatsApp campaign.
- 4
Sync
Press Sync now. Phone numbers, emails, names and city are turned into a secure code (hashed) before they leave BizOS. The audience then re-syncs every night.
Who is sent: the group as it stands at each sync, minus anyone opted out of marketing and anyone switched to Exclude from Facebook audiences on their customer or lead page, minus anyone with neither phone nor email. Because the nightly sync replaces the list, people who leave the group or opt out are removed from Facebook within a day.
Facebook restricts some audiences
Facebook blocks audiences that suggest a health condition or financial status (for example "patients treated for…"). BizOS marks such an audience Restricted by Facebook. Clinics and similar businesses should build audiences from neutral groups such as all customers. If Facebook's Custom Audience terms have not been accepted on the ad account, the audience shows Accept Facebook terms with the link to do it.
Who can run campaigns?
| Role | Campaigns |
|---|---|
| Owner, Admin | Everything, including the one-time Facebook ads confirmation |
| Manager | Prepare, test send, send, pause, resume and cancel |
| Office staff | Prepare drafts, build audiences and see results; cannot send or test send |
| Accountant, Field technician | No access |
Sending spends money and uses your number, so it is kept apart from preparing. A campaign reaches customers of every branch, so a member who works only at some branches cannot run campaigns. Choosing an audience by lifetime value or dues needs permission to see money. See Roles & permissions.
Campaigns are part of the WhatsApp Business module; see Plans & pricing. You can also ask Ask BizOS to send a template to a described audience; it uses the same audience rules and starts at 10:00 IST if asked outside the window. There is no campaign screen in the phone app.
Common questions
- Can I send a BizOS campaign from the shared BizOS number?
- No. BizOS campaigns go out only from your own connected WhatsApp Business number, because marketing on a shared number would put every business on it at risk.
- What does a WhatsApp campaign cost in BizOS?
- BizOS adds no per-message charge for campaigns. Meta bills your WhatsApp Business account for each delivered marketing message; BizOS shows an estimated cost before you send, and the real bill is usually lower because opted-out and WhatsApp-limited people are not charged.
- Why did fewer people receive my campaign than I selected?
- BizOS shows every exclusion before you send: duplicates merged into one person, opt-outs, people who already got two marketing messages in the last 30 days, and invalid numbers. The same checks run again as each message goes out, so anyone who replied STOP in between is skipped too.
- Can a BizOS campaign repeat every week?
- No, by design. A BizOS campaign is a one-time send. Use a workflow for anything triggered by an event or a schedule, or a customer journey for purchase-driven nurture.
- How do I know if a campaign brought in sales?
- The BizOS campaign results page shows how many recipients bought within 7, 14 or 30 days, next to how many of the same people bought in comparable periods before, and the difference between the two.
- Can I upload my own contact list for a WhatsApp campaign?
- Yes. BizOS accepts a CSV or Excel file of up to 5 MB and 5,000 rows. You must confirm the contacts agreed to hear from you, and BizOS deletes the uploaded cell values 30 days after the campaign ends.
- Can BizOS send my customer list to Facebook for ads?
- Yes. Campaigns → Facebook audiences sends a group of customers or leads to your Facebook ad account as a Custom Audience, hashed before it leaves BizOS and re-synced nightly. The owner or an admin must first confirm the business has permission to use customer details for ads, and anyone opted out of marketing or of Facebook ads is left out.
- Can my office staff send campaigns?
- In BizOS, Office staff can prepare campaign drafts and build audiences but cannot send or test send. Sending is for the Owner, Admin and Manager roles.
