Activity log
“Who changed this bill?” “Who deleted that customer?” Trust in a shared system comes from being able to check. The BizOS activity log records every state change in your business — who did it, what changed, and when — and nothing in the product can edit or remove an entry.
Where is it?
Settings → Business → Activity log. The Team page and the dashboard also link to it for roles that can read it.
What gets recorded
Anything that changes state. A few examples of the questions this answers:
| Question | The log shows |
|---|---|
| Who marked this invoice paid? | The actor, the timestamp, and the before/after status |
| Who deleted an issued invoice? | The deletion, who made it and when |
| Why is this customer’s number wrong? | The edit, with the old and new value |
| Who changed the payment terms? | The settings change and who made it |
| Did anyone change a team member’s role? | The team action and who performed it |
| Did BizOS support change anything? | Every change in the session, marked BizOS support |
| What did an automation do? | The change, marked Automation |
Sign-in events are recorded too, including a locked OTP after repeated wrong attempts.
Who made the change?
| Shown as | Means |
|---|---|
| A person’s name | A member of your team, in the app or on the phone |
| Ask BizOS | The assistant, acting for the member who asked it |
| Automation | A workflow or other automatic rule |
| API key (with its name) | Another system connected with an API key |
| BizOS support | BizOS support in a time-boxed support session for your business |
Reading an entry
Open one and you see when, the exact action key (for example
invoice.marked_paid), the module, the record and its id, the IP address and
city, and the before and after values side by side. That last part is what
turns “something changed” into “this field went from this to
that”.
Filtering
By person (everyone, or one member), by module, by a specific action key, by record, and by date range. A support question usually resolves in two filters: the person and the day.
Export
Export CSV prepares the selected range in the background and notifies you when it’s ready — the log can be large, so it isn’t a blocking download. Exporting comes with the Billing base and is limited to the Owner and Admins, so a Manager or Accountant can read the log without taking a copy of it away.
Retention
| Plan | Kept for |
|---|---|
| With Billing or any paid plan | 365 days |
| Free | 90 days |
Entries older than that are purged automatically at night. Retention follows your plan at the time of the purge, so moving down to Free shortens it. Export before the window closes if you need a longer record.
Who can read it?
| Role | Access |
|---|---|
| Owner, Admin | Read and export |
| Manager, Accountant | Read |
| Office staff, Field technician | No access |

Common questions
- Can I see who changed or deleted something in BizOS?
- Yes. The BizOS activity log records every state change with who made it, the action, the record and the before-and-after values, filterable by person, module, action and date range.
- Can the BizOS activity log be edited?
- No. It is append-only. There is no edit path in BizOS, and the only removal is the nightly retention purge of entries older than your plan's window.
- How long does BizOS keep activity entries?
- 365 days for a business with the Billing base or a paid plan, and 90 days on Free. Older entries are purged nightly; export to CSV if you need a longer record.
- Will I know if BizOS support changed something?
- Yes. Every change made in a BizOS support session appears in your activity log labelled BizOS support, never as you, and support sessions need a stated reason and are time-boxed.
- Does the BizOS activity log show failed logins?
- Sign-in events are recorded, including an OTP locked after repeated wrong attempts, so unusual access attempts on your account are visible.
- Can my staff see the activity log?
- The Owner, Admin, Manager and Accountant roles can read the BizOS activity log; Office staff and Field technicians cannot. Only the Owner and Admins can export it.
