Follow-ups
“I said I’d call him back on Thursday” is how most local businesses lose a sale or a payment. A follow-up in BizOS is a dated reminder attached to a customer: call Ramesh about the pending quote on Thursday. The Follow-ups screen turns all of them into one worklist that answers the owner’s morning question: who do I need to chase today?
The worklist
The list opens on Due & overdue, so the oldest neglect is at the top. Each row shows the title, the customer, when it is due and who it is assigned to.
| Bucket | What it shows |
|---|---|
| Due & overdue | Everything due today or already late |
| Upcoming | Scheduled for later, so you can see the week forming |
| All | Including completed ones, for looking something up |
On a computer, Space opens a quick peek of the selected follow-up and
Enter opens it in full, so you can work down the list from the keyboard.
How do I work a follow-up?
From the follow-up itself:
- WhatsApp opens a chat with the customer.
- Call dials the number.
- Mark done takes it off the worklist.
- Snooze moves it to tomorrow, three days out or a week out.
- Delete removes it when it no longer needs doing.
The peek shows the notes and the customer behind the follow-up, so you know why it exists before you dial.
How do I add a follow-up?
- 1
Open New follow-up
Use the New follow-up button on the Follow-ups page or the New menu. On a computer the shortcut is N then F.
- 2
Pick the customer
Search your customers, or add a new one inline with just a name and phone number.
- 3
Say what to do
Give it a short title such as Call about the pending quote, and add notes if the reason needs explaining.
- 4
Set when
Tap a shortcut (Today 5 PM, Tomorrow 10 AM, +3 days, +1 week) or pick a date and time.
- 5
Assign it
Leave it unassigned or give it to a team member. A field technician cannot assign follow-ups to someone else; theirs are assigned to them.
You can also ask Ask BizOS in plain words: “remind me to call Senthil Builders on Monday about the balance.” It can list, create, complete and reschedule follow-ups with your permissions.
Which follow-ups does BizOS create for me?
From a workflow
Any workflow can create a follow-up: two days after a quotation is sent, when an invoice goes overdue and needs a human, or a week after a job is completed for a courtesy call.
Before an AMC visit
Ahead of each scheduled contract visit (7 days before by default), BizOS creates a follow-up for whoever will do the work: the visit job’s technician, else the person the contract is assigned to, else the business owner.
After a low rating
When a customer gives a low rating in the feedback request after a job, BizOS creates a same-day follow-up for the owner, so an unhappy customer gets a call the same day.
Automations don't pile up
A workflow that creates follow-ups can set a no-repeat window of 1 to 90 days, for example “don’t create this again for the same customer within 7 days”, so a daily check can’t bury someone in identical tasks. The workflow also picks who the follow-up goes to (the owner by default) and how many days out it is due.
Follow-ups as automation triggers
Follow-ups are events too. Workflows can start on Follow-up Created, Follow-up Completed and Follow-up Due Today. The due-today check runs every morning at 07:00 IST, which is how a “here is your list for today” WhatsApp or notification is built.
Who sees which follow-ups
| Role | Follow-ups |
|---|---|
| Owner, Admin, Manager, Office staff | Every follow-up: add, assign, snooze, complete, delete |
| Field technician | Only follow-ups assigned to them; they can add, snooze and complete their own |
| Accountant | No follow-ups screen |
In a business with branches, a member limited to some branches sees the follow-ups of those branches’ customers, plus any follow-up assigned to them.
On the phone app, follow-ups sit alongside the day’s other chasing, with call, WhatsApp, done and snooze.
Common questions
- What is the difference between a follow-up and a job in BizOS?
- In BizOS a follow-up is a reminder to contact someone: a call or message you owe. A job is work to be scheduled, done and billed. Chasing a payment is a follow-up; installing an AC is a job.
- Can BizOS create follow-ups automatically?
- Yes. BizOS workflows can create a follow-up on events such as quotation sent, invoice overdue or job completed, assign it to a chosen person and set it due a number of days out, with a no-repeat window so the same reminder is not created twice. BizOS also creates follow-ups before scheduled AMC visits and after a low job rating.
- Can staff see each other's follow-ups in BizOS?
- Owners, admins, managers and office staff can switch between Mine and Team to see everyone's follow-ups. A field technician sees only the follow-ups assigned to them, and accountants do not use follow-ups.
- What happens to an overdue follow-up?
- It stays at the top of the Due & overdue bucket in BizOS until someone marks it done, snoozes or deletes it. A workflow on Follow-up Due Today can also notify the owner or the assignee each morning.
- How do I push a follow-up to later?
- Use Snooze on the follow-up in BizOS and pick Tomorrow, +3 days or +1 week. The follow-up moves to that day and drops off today's list.
- Can I create a follow-up for a new customer?
- Yes. In the BizOS New follow-up sheet you can add the customer inline with a name and phone number, and the follow-up is created against them in the same step.
