Settings
Settings is where BizOS learns how your business works — your numbering, your terms, your stages, your fields, your documents. Everything has a working default, so you can ignore all of it on day one and come back when something doesn’t fit. Can’t find something? Type it into Find a setting at the top — “UPI”, “invoice prefix”, “letterhead”.

Business profile and GST
Your identity on every document: business name, address, city, state, pincode, the phone and email printed on documents, your logo and authorised signature, and PAN. Switch GST-registered on and enter your GSTIN, and every new invoice and quotation follows it; issued ones keep what they were billed with. See GST billing.
Type rates including GST (on by default) lets you type ₹17,000 and bill exactly ₹17,000; the bill still shows the taxable value and GST separately.
Numbering, terms and approvals
Under Selling:
| Setting | Default | Notes |
|---|---|---|
| Invoice due after | 30 days | Sets the default due date |
| Quote valid for | 7 days | Sets the default expiry |
| Note on every invoice / quote | — | Printed at the bottom |
| Big quotes need approval | Off | Quotes from staff at or above your limit wait for someone whose role can approve quotes |
| Terms page after the bill | — | An extra last page with your terms, warranty or scope, separately for invoices and quotations |
| Numbering | INV-, QT- and so on | Prefix, digits, suffix and next number of every series |
Changing a prefix
A prefix can be changed at any time and applies from the next number; numbers
already issued keep theirs. Each number is also checked against everything
already issued in that financial year, so a change can never produce a
duplicate. Financial-year tokens such as {FY} and yearly or monthly restarts
are covered in Document numbering.
Payments, bank and UPI
Bank name, account number and IFSC for the payment block on invoices, and one or more UPI IDs — the primary one prints on invoices and quotes; with several, you pick the account when recording a UPI payment. Online payment links · Razorpay holds your own Razorpay key, secret and webhook secret. It’s off by default and can’t be switched on without both keys; you can also make a payment link automatically whenever an invoice is sent. See Payments.
Document design
Per document — Invoice, Quotation, Receipt, Challan — pick a template from the gallery of 14, then tune the look: logo position, accent colour, font (Inter, Roboto or Noto Sans), copy label, the line under your name, footer line, an optional title override, and the paper (plain, or your pre-printed letterhead). Choose what prints: GSTIN, PAN, bank details, terms, the discount column, tax breakout, line photos and the signature block. The preview is a real PDF from the same renderer that makes the document you send. See Document design.
The title follows your GST registration: TAX INVOICE when you are registered, INVOICE when you are not, QUOTATION or ESTIMATE for quotes, PAYMENT RECEIPT and DELIVERY CHALLAN for the others. Free-tier documents carry a small “Made with BizOS” line.
Automatic messages to customers
One list of everything BizOS sends a customer on its own, grouped as Money, Jobs, Contracts (AMC) and Deliveries: payment reminders, invoice sent, quotation sent, job scheduled, started and completed, the feedback request, AMC visit coming up, renewal due, the delivery confirmation code and delivery reminders. Each is switched on separately; Job started is off by default because it is the noisiest. Job, quote, bill and AMC updates go at most once per event and up to 5 per customer a day, and a customer can reply STOP to opt out. The feedback request has its send delay, the “unhappy at or below” rating and your Google review link. See Notifications.

Common questions
- Can I change my invoice number prefix in BizOS?
- Yes, at any time, under Settings → Selling → Numbering. A new prefix applies from the next number, numbers already issued keep theirs, and BizOS checks every number against those already issued in the financial year so a change cannot create a duplicate.
- How do I add my terms and conditions to BizOS invoices?
- Settings → Selling → Invoices & quotes has a Terms page after the bill: an extra last page with your full terms, warranty or scope, set separately for invoices and quotations. It supports simple formatting.
- Can I change the look of my invoice PDF in BizOS?
- Yes, under Settings → Selling → Document design: pick one of 16 templates and set the logo position, accent colour, font, paper, and whether GSTIN, PAN, bank details, the discount column, tax breakout, terms, line photos and the signature print — separately for invoices, quotations, receipts and challans.
- Where do I turn on WhatsApp updates to customers in BizOS?
- Settings → Customer messages → Automatic messages. Every message BizOS can send a customer on its own is listed there, each switched on separately, and a customer can reply STOP to opt out.
- Why can't I see all the BizOS settings pages?
- Each member sees only the pages their role can use. Business setup, payments, document design, WhatsApp, integrations, import and API keys are for the Owner and Admins; a Manager also sees pipelines and custom fields. Everyone has the You group for their own preferences.
- How do I find a setting quickly?
- Type into Find a setting at the top of BizOS Settings, for example UPI, invoice prefix, letterhead or GST. It searches every page your role can open.
