Receipts, advances & credit

A customer hands over ₹8,000 and asks for a receipt. Another pays half the wiring job before you have even written the bill. A third pays ₹1,500 against a ₹1,000 invoice. Each of these is money you have to account for properly, and each is where small-business books usually go wrong. In BizOS every payment gets a numbered receipt, money that arrives before a bill is held for that customer, and nothing a customer paid is ever lost in rounding.

What a BizOS receipt shows

Every payment, whether cash at the counter, UPI, a bank transfer, a cheque or an online payment, has one receipt with one number. The receipt is titled PAYMENT RECEIPT and carries:

On the receiptWhy it is there
Receipt number and dateFrom your receipt series, in the order the money arrived
Amount in figures and in words"Rupees … Only" is what makes an Indian receipt read as final, and it is the check on the figure
Received towardsThe invoice it was paid against, or Advance / on account when there is no bill yet
Invoice total and balance afterSo a part payment of ₹8,000 against a ₹45,000 bill is clearly a part payment
Received byThe team member who took the money
Your signature blockYour signature image and signatory name, as on your invoices

The balance after is worked out each time the receipt is printed, from the payments in the order they were received. A receipt never shows a balance that contradicts the invoice screen, even after a later payment is reversed or a credit note is raised.

Why a receipt carries no tax

GST is charged once, on the invoice. Restating it on the receipt would claim a second taxable event that never happened, which is the kind of mistake a CA spots and a customer copies into their own books. BizOS removes the tax, item and bank sections from receipts on purpose, and a business cannot switch them back on for receipts.

Printing on a counter printer

Receipts use the same template system as invoices, styled separately under Settings → Selling → Document design → Receipt. Pick Simple — Thermal (80mm) for a roll printer at the counter, or any other template for an A4 receipt. Options that cannot apply to a receipt (tax breakout, bank details, discount column) are hidden on that tab.

Getting a receipt to the customer

  • Web: Receipt in the payment's row menu on the Payments list, and a Receipt button against each payment on the invoice. A part-paid invoice has one receipt per instalment.
  • Mobile app: open the payment and share the receipt PDF.

BizOS does not yet send receipts on WhatsApp automatically; you download or share the PDF.

Numbering

The prefix and next number are set under Settings → Selling → Numbering. Changing the prefix applies from the next receipt; receipts already issued keep their numbers. When a payment is reversed, its receipt number is not reused. See Document numbering.

How do I record an advance before the invoice?

  1. 1

    Open Collect payment

On the Payments page, choose Collect payment, then pick Advance · on account instead of Against a bill.

  2. 2

    Pick the customer and amount

Enter who paid, how much, the method (cash, UPI, bank, cheque) and an optional reference such as the UTR or cheque number.

  3. 3

    Hand over the receipt

The advance gets a receipt from the same series, printed as Received as: Advance / on account.

  4. 4

    Apply it when you bill

When you open an invoice for that customer, BizOS shows the advance available and offers to apply it in one tap.

An advance is real money from the moment it lands. It shows in the day book, in the cash drawer of whoever took it and in your collections. It does not mark any bill paid, move any stock or fire any "invoice paid" automation, because it has not paid a bill yet.

On the customer's page, Advance held sits beside Owes you. BizOS never nets the two together, because a netted figure hides both the money you owe back and the money you are owed.

How do I apply an advance to one or several invoices?

On an invoice whose customer has money held, BizOS shows a banner such as "₹50,000 advance available" with a button to Apply ₹8,000: the smaller of what is held and what the bill still owes. One tap applies it, oldest held payment first, and the invoice moves to Partial or Paid as usual.

To spread one advance over several bills, apply it from each bill in turn; the held amount goes down each time. In the BizOS mobile app, recording a payment with several bills ticked records it once and applies it across those bills, oldest first.

Payments → Held, not applied lists every payment that still holds money, and each such row carries a "₹… held" chip, so nothing waits forgotten.

Why BizOS does not apply advances automatically

"Oldest invoice first" is the textbook rule, and in a shop it is wrong often enough to cause disputes: the advance was for this job, not last month's bill. So the choice of bill stays with you. The one automatic case is an advance taken against a sales order, described below.

What happens when a customer pays too much?

If ₹1,500 is recorded against a bill that owes ₹1,000, BizOS settles the bill and holds the extra ₹500 as that customer's credit, ready to apply to their next bill. Nothing is clamped away.

The same rule protects money when a bill shrinks under it. If a credit note reduces a bill that was already paid, the money that no longer has a bill to sit on goes back to the customer as held credit.

Correcting a mistake

Payments are never edited. A payment recorded wrongly is reversed: the bill gets its balance back, a cash reversal comes off the drawer figure of whoever recorded it, and the receipt number is not reused. Reversing is limited to roles that can cancel and correct mistakes (Owner, Admin and Manager). Some payments cannot be reversed in BizOS: an online payment (refund it in your payment gateway), a payment already in your Tally books, and any payment while Tally sync is connected.

Taking applied money back off one bill without reversing the payment (un-applying) never renumbers or destroys the receipt, because the paper still truthfully says the money was received. The app has no Un-apply button yet; today that correction is made through the API or by reversing the payment and recording it again.

Advances against a sales order

An advance can be taken against a confirmed sales order. The receipt says "Advance against Sales order SO-…". When a bill made from that order is issued, BizOS applies the order's held advance to it automatically, oldest first and never more than the bill owes. Money left over stays as the customer's credit and can go on any of their bills.

Rental deposits are different

A security deposit on an equipment rental is also a payment with a receipt, and it counts in the cash drawer. But it is not customer credit: it never appears in the advance offer, can be applied only to that rental's own bills, and leaves either as a refund or by being released as credit on purpose.

GST on advances

BizOS computes no GST on an advance. For goods, tax on advances was withdrawn; for services, GST may be payable when the advance is received. BizOS has deliberately not built tax on advances until that treatment is confirmed by a practising CA. If you sell services and take advances, ask your CA how to account for the tax.

Receipts, advances and Tally

If you use Tally sync:

  • Each payment goes to Tally as a receipt voucher. An advance goes on account, with no bill reference.
  • Applying an advance to a bill later pushes nothing. A second receipt voucher would double the money in your accountant's books, so in Tally that receipt stays on account until it is adjusted against the bill there.
  • Held money can still be applied in BizOS after the payment is in Tally; reversing it is what is locked.
  • A receipt made in Tally that names no bill comes into BizOS as the customer's held money for you to review. It is never applied to a bill by matching amounts.
  • Rental deposits are not pushed to Tally yet.

Common questions

Does BizOS give a receipt for every payment?
Yes. BizOS numbers a receipt for every payment the moment it is recorded, from its own receipt series (RCPT-0001 by default), whether the money came in cash, UPI, bank transfer, cheque or online through Razorpay.
Why is there no GST on a BizOS payment receipt?
Because a receipt acknowledges money, not a supply. GST was charged once on the invoice, so a BizOS receipt prints the amount in figures and words, the invoice it was against and the balance left, but no tax, no items and no HSN.
Can BizOS print receipts on an 80 mm thermal printer?
Yes. In Settings, Selling, Document design, choose the Receipt tab and pick the Simple Thermal (80mm) template. Any of the BizOS document templates can be used for receipts.
How do I record an advance in BizOS before making the invoice?
Use Collect payment on the Payments page and choose Advance on account. BizOS records the money with its own receipt, shows it as Advance held on the customer, and offers to apply it when you open an invoice for that customer.
Can one advance in BizOS pay several invoices?
Yes. BizOS lets you apply held money to as many of that customer's bills as it covers. You apply it from each invoice, or in the mobile app tick several bills when recording the payment and BizOS applies it oldest first.
What happens in BizOS if a customer pays more than the invoice amount?
BizOS settles the invoice and holds the extra as that customer's credit, ready to apply to their next bill. The surplus is never lost or silently written off.
Does BizOS charge GST on advance payments?
No. BizOS does not compute GST on advances today. That suits goods, where tax on advances was withdrawn; for services, GST may be due when the advance is received, so check the treatment with your CA.
Will applying an advance in BizOS create a duplicate entry in Tally?
No. BizOS pushes the advance to Tally once, as a receipt on account. Applying it to a bill later pushes nothing, so the money is never counted twice in your accountant's books.
