Invoice design & letterhead
“My bill should look like my business, and I already paid for a box of printed letterhead.” In BizOS you pick a template for each kind of document, add your logo, signature, terms and payment details, and choose whether it prints on plain paper or on your own pre-printed pad. What you see in Settings is a real PDF made by the same code that makes your bills, so the preview is exactly what the customer gets.
Where do I change how my invoice looks?
Open Settings → Selling → Document design. Pick the document at the top (Invoice · Quotation · Receipt · Challan), then work down the page:
| Section | What it sets |
|---|---|
| Template | Which of the templates this document uses |
| Look | Logo position (left or centre), accent colour, font (Inter, Roboto or Noto Sans), copy label such as ORIGINAL FOR RECIPIENT on GST templates, a line under your name, a footer line, the title, the paper, and the PDF style for customers |
| What prints | GSTIN, PAN, bank details, terms text, the discount column, tax breakout, line photos, highlighted notes, the signature block and the signatory name |
The live preview beside the form updates as you change things. Only the Owner and Admins can change document design; everyone else prints with it.
The templates
GST tax invoices. The full Indian tax-invoice grid: HSN/SAC column, CGST/SGST or IGST columns, HSN-wise tax summary, amount in words and signature. The grid fills the A4 page, so the totals and signature sit at the bottom edge even on a three-line bill.
| Template | Looks like |
|---|---|
| GST — Bordered | Traditional tax invoice, heavy rules. The default. |
| GST — Clean | Same content, lighter borders, more white space |
| GST — Classic | Dense, heavy-ruled, Tally-style. Fits many lines. |
| GST — Branded | Your accent colour on the title band and column headers |
| GST — Compact | Smaller type, for long invoices |
| Large logo — Left | A big logo beside your business details |
| Large logo — Right | Business details on the left, a wide logo on the right |
| Large logo — Center | A large centred logo above your business details |
Simple documents. Clean bills without the HSN grid, for businesses that are not GST-registered or want a lighter look. They can show per-line photos.
| Template | Looks like |
|---|---|
| Simple — Modern | Accent header band |
| Simple — Minimal | Thin rules, prints well in black and white |
| Simple — Elegant | Serif masthead, centred header |
| Simple — Mono | Pure black and white, ignores the accent colour |
| Simple — Receipt | Narrow and compact, for quick cash bills |
Plain and specialty.
| Template | Looks like |
|---|---|
| Simple — Estimate (plain) | A typewriter-style estimate slip: party, items and amount in words. No logo, letterhead, tax grid or signature, by design. |
| Simple — Thermal (80mm) | A narrow roll for a counter or thermal printer, lines stacked in one column |
| Simple — Detailed quote | Full-width description, notes and a photo per line, for service quotes where the scope matters more than the grid |
The GST templates need a GST registration. For a business that is not registered they are shown collapsed, with a link to Settings → Business → Profile & GST.
An 80 mm counter receipt
For payment receipts at a counter, pick Simple — Thermal (80mm) on the Receipt tab. A receipt acknowledges money only, so whatever template you pick it never prints line items, tax or bank details. See Receipts & advances.
Logo, signature and business details
- Logo and authorised signature are uploaded once in Settings → Business → Profile & GST, and used by every document type. A transparent PNG signature prints best.
- The signatory’s name is set per document type under Document design, because who signs a quotation is not always who signs an invoice.
- The signature block prints “For <your business>”, then the signature image, then the name. With no signature uploaded, the middle is left blank for a wet signature.
- A delivery challan never prints your signature. Its signature block is for the customer receiving the goods and is captioned “Customer Signature”. Simple — Estimate (plain) has no signature block at all.
- Name, address, phone, email, GSTIN and PAN come from Profile & GST. The GSTIN and PAN toggles under What prints decide whether they appear.
Terms, notes and a terms page
In Settings → Selling → Invoices & quotes:
- Note on every invoice and Note on every quote, printed at the bottom.
- Terms page after the bill: an extra last page with your full terms, warranty or scope, with simple formatting, set separately for invoices and quotations.
- Payment terms (invoice due after, 30 days out of the box) and quote validity (7 days out of the box).
Bank and UPI details
Bank name, account number, IFSC and your UPI IDs are entered in Settings → Selling → Payments. The primary UPI ID is the one that prints.
| Document | Payment block |
|---|---|
| Invoice | Bank & Payment Details, plus a scan-to-pay UPI QR for the balance when a UPI ID is on file |
| Proforma | Bank & Payment Details, always on, since a proforma exists to collect an advance |
| Quotation | Two columns: Raise PO in favor of (the legal name a purchase order should name, editable) and Account Details. Each can be switched off. |
| Receipt, challan | None |
Printing on your own letterhead
Your pre-printed pad already has your logo and address at the top and a contact strip at the bottom. BizOS leaves those areas blank and prints the bill between them.
- 1
Switch on letterhead
In Settings, Selling, Document design, find the Your letterhead card and turn on Use letterhead. It is off for a new business.
- 2
Upload a scan of your pad
A photo or scan of a blank sheet. It is used to place the bands and is drawn into the copy your customers receive. It is never printed onto paper.
- 3
Set the header and footer heights
Drag the two red lines onto the edges of your pad’s header and footer, or type the heights in millimetres. Arrow keys nudge 1 mm, Shift with an arrow 5 mm.
- 4
Say whether the pad shows your GSTIN
A tax invoice must carry your GSTIN. BizOS keeps printing it unless you tick My letterhead already shows our GSTIN.
- 5
Print a test page
Print a test page at Actual size or 100% on a real sheet and hold it to the light to check the bands clear the pad.
- 6
Choose the paper per document
On each document type, set Paper to Plain paper or My letterhead. The 80 mm roll never uses a letterhead.
What changes on a letterhead page:
- The bands repeat on every page, like a stack of letterhead sheets.
- Your logo, name and address are left to the pad; so is the footer line.
- Your GSTIN stays in the body unless the pad already shows it.
- “For <your business>” stays on the signature block.
Who gets which copy. With the letterhead on, Print on an invoice or quotation prints blank bands, ready for the pad. PDF downloads the plain template. The customer’s copy (WhatsApp, share links) gets your scan drawn in, so it looks like the printed sheet. With no scan uploaded, the customer’s copy uses plain paper instead of arriving with an empty top. On the mobile app, the PDF viewer switches between letterhead, the copy to send, and plain.
Half-page (A5) printing is not available yet.
GST breakup or prices including GST
For a GST-registered business, the invoice and quotation templates have a PDF for customers choice:
- GST breakup (default): tax columns, tax total and HSN summary.
- Prices incl. GST: rates include GST, no tax shown, the same total. An invoice is titled INVOICE rather than TAX INVOICE.
Any one download can use the other style from the document’s PDF menu. A business customer claiming input tax credit needs the GST breakup. More in GST billing.
Branch branding
With branches, a branch’s bills print:
- its brand as the headline, with the business’s legal name on the next line (a brand never prints alone);
- its own address, phone, email and UPI ID;
- its GSTIN (the business’s, or the branch’s own registration);
- the business’s address as Regd. office;
- its own logo, signature and letterhead scan, if uploaded for the branch.
Issued invoices, receipts and challans keep the seller details they were issued with, even if the branch changes later.
Numbers, titles and the “Made with BizOS” line
- Titles follow your GST registration (see GST billing). Type your own under Look → Title to replace it.
- Document numbers come from your series. See Document numbering.
- “Made with BizOS” prints in the footer of documents on the Free plan, and above the footer band on a letterhead page. The Billing module removes it. See Plans & billing.
Why are PDFs fast?
Invoices, quotations and proformas are drawn in your browser from a few kilobytes of data, using the same templates the server uses, so opening or printing a PDF does not wait for the server to build it. Challans, receipts, WhatsApp attachments and share links are still made on the server. See Speed & offline billing.
Common questions
- How many invoice templates does BizOS have?
- BizOS offers 16 PDF templates: eight GST tax-invoice formats including three large-logo layouts, five simple formats, and three specialty formats (a plain typewriter-style estimate, an 80 mm thermal roll and a detailed quote). Each document type can use a different one.
- Can BizOS print on my pre-printed letterhead?
- Yes. Turn on Use letterhead in Settings, Selling, Document design, set the header and footer heights of your pad, and choose My letterhead as the paper for each document type. Printed copies leave the pad's areas blank, and customers' WhatsApp copies get your letterhead scan drawn in.
- Can I print bills on an 80 mm thermal printer with BizOS?
- Yes. Choose the Simple — Thermal (80mm) template for the document type, such as invoices or receipts. It prints lines in one narrow column for a counter printer. It does not use a letterhead.
- How do I add my signature to invoices in BizOS?
- Upload your signature image once in Settings, Business, Profile & GST, then turn on the signature block and type the signatory's name for each document type in Document design. BizOS prints For your business, the signature and the name. Delivery challans never print your signature.
- Where do I add bank details and a UPI QR to my invoice?
- Enter your bank account, IFSC and UPI IDs in Settings, Selling, Payments. BizOS prints the bank block and a scan-to-pay UPI QR for the balance on invoices, always shows bank details on proformas, and shows a Raise PO in favor of column beside the account details on quotations.
- Can I show prices including GST on the invoice PDF?
- Yes, for a GST-registered business. Choose Prices incl. GST as the PDF style for customers, or pick it for one download from the PDF menu. The totals stay the same and the GST is still recorded in full, but that copy is titled INVOICE, not TAX INVOICE.
- Is the preview in BizOS settings the real invoice?
- Yes. The BizOS document design preview is a real PDF made by the same templates that make your bills, from your unsaved settings, so what you see is what prints.
- Why does my BizOS invoice say Made with BizOS?
- Documents from a business on the BizOS Free plan carry a small Made with BizOS line in the footer. Adding the Billing module removes it. Your logo and the other design settings work on every plan.
