GST billing & GSTR-1

“Is my bill GST-correct, and how do I get GSTR-1 to my CA without retyping every invoice?” In BizOS, GST follows your business’s registration, so a registered business prints a proper tax invoice every time with nobody choosing anything per bill. At the end of the month BizOS prepares GSTR-1 from the invoices and credit notes you issued, as the JSON file the GST portal takes and as CSVs for your CA. BizOS does not file the return. You or your CA upload it.

How do I make a GST invoice in BizOS?

  1. 1

    Turn on GST registration

In Settings, Business, Profile & GST, switch on GST-registered and enter your 15-character GSTIN. Only the Owner or an Admin can change this.

  2. 2

Add HSN or SAC codes to your items

Each item has an optional HSN/SAC field next to its GST rate. Spaces and hyphens are removed, so 8544 49 10 is stored as 85444910.

  3. 3

    Add the customer’s GSTIN

For a business customer, save their GSTIN on the customer record. It decides CGST and SGST or IGST, and puts the sale in the B2B section of GSTR-1.

  4. 4

    Make the invoice

Add lines as usual. GST is applied at each line’s rate; you do not switch anything on per bill.

  5. 5

    Issue it

Issuing gives the invoice its number and freezes its GST treatment. The PDF is titled TAX INVOICE and carries your GSTIN, HSN/SAC per line, the tax split and the amount in words.

You will only see BILL OF SUPPLY on an invoice issued before GST followed the registration, or one issued while the business was unregistered and kept after it registered. You can replace any title with your own in the template settings (see Invoice design).

Issued invoices keep what they were billed with. If you register for GST later, a draft picks up GST the next time it is saved, at the tax rates already on its lines. An invoice that was already issued without GST stays that way, because that is what the customer was billed.

CGST and SGST, or IGST?

BizOS compares the state code in your GSTIN (or the GSTIN of the branch issuing the bill) with the state code in the customer’s GSTIN:

  • Same state: CGST + SGST, each half the tax. They are always equal, to the paisa.
  • Different states: IGST.
  • Customer has no GSTIN: BizOS treats the sale as within your state and charges CGST + SGST.

Inter-state sales to unregistered buyers

BizOS does not store a state for customers without a GSTIN. A sale to an unregistered buyer in another state is therefore treated as intra-state on the bill and in GSTR-1. If you make such sales regularly, have your CA check those bills before filing.

HSN and SAC codes

  • The code is optional on every item. BizOS never refuses a save without one. Once stored it is 2 to 8 digits (HSN is 4, 6 or 8; SAC is 6).
  • It is copied onto each line when the document is saved, so an issued invoice keeps the code that was true at the time. Add a code to an item later and the next edit of a document picks it up.
  • The GST invoice templates print an HSN column and an HSN-wise tax summary. The simple templates do not.
  • GSTR-1 warns about lines with no HSN or an HSN under 4 digits, and lists each one with a link to fix it.

Rates entered including GST

Many shops agree prices including GST (“the TV is ₹17,000”). With Type rates including GST on (Settings → Business → Profile & GST, shown once you are registered), the invoice and quotation editors on web and mobile take and show the rate, the ₹ discount and the amount including GST:

  • On by default. Turn it off to type rates before GST.
  • Entry only. BizOS always stores the rate before GST, so the PDF, GSTR-1, Tally and reports are unchanged. Turning it off or on never changes a saved document.
  • Exact totals. ₹17,000 typed at 18% bills exactly ₹17,000.00 at any quantity: the pre-GST rate is stored without rounding.
  • Changing the tax rate keeps the agreed price. Correct a line from 12% to 18% and the price including GST stays where the customer was promised it.

Pricing items as MRP is separate and lives on the item. See Pricing & price lists.

GST breakup or prices including GST on the PDF

A GST invoice or quotation can print two ways:

StyleWhat prints
GST breakup (default)Taxable value, CGST/SGST or IGST columns, total tax and the HSN summary
Prices incl. GSTEvery rate and amount including GST, no tax columns, the same grand total. An invoice is titled INVOICE, not TAX INVOICE.

Set the default for customers under Settings → Selling → Document design → PDF for customers (Invoice and Quotation). Any single download can use the other style from the invoice’s PDF menu. WhatsApp sends and share links follow the template’s default.

Business customers need the breakup

The tax invoice under GST rules must show the rate and amount of tax. The GST-inclusive copy is a convenience copy. A business customer claiming input tax credit needs the GST breakup, which is always one click away in the PDF menu.

Several GSTINs under one PAN

A business with a branch in another state needs a GST registration there. In BizOS these are branches inside one business, each trading under the business’s own GSTIN or another registration with the same PAN:

  • Each branch prints its registration’s GSTIN, and the CGST/SGST or IGST split follows that registration.
  • Advances taken under one GSTIN are not applied to bills under another.
  • Stock sent to a branch on another GSTIN goes on a tax invoice from its own series (STI-), and appears in the sender’s GSTR-1 as a B2B sale.
  • GSTR-1 and the accounting exports are prepared per GSTIN.

Registrations are added in Settings → Business → Branches & GST. The Branches add-on is set up by BizOS support. See Branches.

How do I export GSTR-1 from BizOS?

  1. 1

    Open Accounting, GSTR-1

The GSTR-1 tab appears for a GST-registered business, to members who handle the accounting hand-off: Owner, Admin and Accountant.

  2. 2

    Pick the month

Use the month stepper. If the business has more than one GSTIN, pick which one under Return for: each GSTIN files its own return.

  3. 3

    Fix what must be fixed

Issues are listed as Must fix, Check or Note, each linking to the invoice, credit note, customer or setting that fixes it. The download stays off while anything is Must fix.

  4. 4

    Download

Download JSON for the GST portal, or CSVs for your CA (.zip) with one CSV per section and an issues file.

  5. 5

    Upload on the portal

On the GST portal: Returns, GSTR-1, Prepare offline, Upload. BizOS files nothing itself.

The mobile app shows the same preview under Reports → GST summary and can share both files.

What goes where

GSTR-1 sectionWhat BizOS puts there
B2B (4A)Invoices to customers with a GSTIN, one row per tax rate
B2CS (7)Other sales to unregistered customers, by place of supply and rate, net of credit notes against them
CDNR (9B)Credit notes against B2B invoices
Nil, exempt, non-GST (8)0% lines on a GST invoice as nil-rated; invoices issued without GST as exempt
HSN summary (12)Split B2B and B2C, by HSN, unit and rate
Documents issued (13)Number ranges per series, with cancelled and missing numbers counted

Amounts are worked out the way the customer’s PDF printed them, so the return adds up to the bills. A credit note reduces tax in its own month; the invoice is still reported in its month.

Must fix, Check and Note

  • Must fix (blocks the download): your GSTIN is missing, or a bill made in Tally after BizOS took over that series is waiting for review (see Document numbering).
  • Check: a line with no HSN or an HSN under 4 digits, a customer or business GSTIN whose check digit fails, a rate that is not a GST slab, a tax amount that does not match its lines, a credit note dated before its invoice, gaps in the number series.
  • Note: for example the HSN was taken from the item, a draft is holding a number, or Tally is connected (your CA may be filing from Tally, so compare the two before uploading).

What BizOS does not do for GST (yet)

Be clear with your CA about this list:

  • No filing. BizOS prepares GSTR-1. You or your CA upload and file it. BizOS does not prepare GSTR-3B.
  • No e-invoice. BizOS does not generate an IRN or the e-invoice QR code.
  • No e-way bill. Challans record the transporter and vehicle, and a stock transfer can carry an e-way bill number you made on the portal, but BizOS generates and files nothing.
  • Sections not produced: exports and SEZ, deemed exports, reverse charge, advances (11A/11B), e-commerce, amendments and debit notes. B2CL and CDNUR stay empty because BizOS does not know an unregistered buyer’s state.
  • No composition-scheme mode and no quarterly (QRMP) mode.
  • The GST portal changes its JSON format from time to time. Before relying on an upload, compare one month’s file with the current offline tool.

Books, purchases and filing beyond this stay with your CA or Tally. BizOS works with Tally from day one, alongside first and then instead: see Tally and Accounting exports.

Common questions

Does BizOS make GST-compliant tax invoices?
Yes. A GST-registered business in BizOS prints TAX INVOICE with its GSTIN, HSN or SAC per line, CGST and SGST or IGST, the tax total, the HSN-wise summary and the amount in words. BizOS does not generate e-invoice IRNs, so a business required to e-invoice still needs the portal or another tool for that.
Can I issue a bill without GST from a GST-registered business in BizOS?
No. In BizOS, GST follows the business's registration, so a registered business charges GST on every invoice. A line can carry a 0% rate, which GSTR-1 reports as nil-rated. To print prices without tax columns, choose the Prices incl. GST style; the GST is still recorded in full.
How does BizOS decide between CGST plus SGST and IGST?
BizOS compares the state code in the seller's GSTIN with the state code in the customer's GSTIN. Same state means CGST plus SGST, different states means IGST. A customer without a GSTIN is treated as being in the seller's state.
Can I type prices including GST in BizOS?
Yes. Type rates including GST is on by default for a registered business. You type the price the customer agreed, such as 17,000 rupees, and BizOS stores the pre-GST rate so the bill totals exactly that amount, with the taxable value and GST shown separately.
Does BizOS file GSTR-1?
No. BizOS prepares GSTR-1 for a month as the GST offline tool's JSON file and as CSVs for your CA, with a list of issues to fix first. You or your CA upload the JSON on the GST portal and file it there.
Can BizOS handle two GSTINs for one business?
Yes, for GSTINs under the same PAN, through the Branches add-on. Each branch bills under its own registration, prints that GSTIN, and BizOS prepares a separate GSTR-1 for each GSTIN. A different PAN is a separate business in BizOS.
Does BizOS generate e-invoices or e-way bills?
Not yet. BizOS does not generate e-invoice IRNs or file e-way bills. Challans record the transporter and vehicle, and a stock transfer can carry an e-way bill number made on the portal, but BizOS sends nothing to the government portals.
Is the GST-inclusive PDF a valid tax invoice?
No. The BizOS Prices incl. GST copy shows no tax amounts, so it is titled INVOICE rather than TAX INVOICE and is meant as a customer convenience copy. A business customer claiming input tax credit should get the GST breakup PDF, available from the same PDF menu.
