Measurements & sizes
A flex printer charges per square foot, so every banner is length × breadth × pieces worked out on a calculator and typed in as a quantity, and one slip of the finger bills the wrong amount. A tailor writes chest, waist and sleeve on a paper slip that is lost by the next order. BizOS puts the sizes on the bill line itself: it works the quantity out from them, or simply records them, and prints them on the quotation and invoice so the customer sees exactly what they are paying for.
Which businesses use it?
| Business | Profile | What happens on the line |
|---|---|---|
| Flex and sign printing | Size (L × B, feet) | 10 ft × 4 ft × 2 pieces = 80 Sq ft, priced per Sq ft |
| Printing, glass, boards | Size (W × H, inches) | Sizes in inches, quantity in Sq ft |
| Flooring, painting, tiling | Area (L × B, metres) | Room sizes in metres, quantity in Sq m |
| Curtains and blinds | Window (W × H) | One entry per window |
| Wiring, piping, false ceiling | Running length (feet) | Runs added up in running feet |
| Photo frames, aluminium and glass | Frame (perimeter) | 2 × (W + H) per frame |
| Packing, earthwork, timber | Volume (L × B × H, feet) | Quantity in Cu ft |
| Tailoring | Shirt, Pant, Blouse | Chest, waist, sleeve and so on are recorded and printed; the quantity stays "2 shirts" |
All of these are ready-made starting points when you create a profile; change anything you like, or start from Work out a quantity or Record sizes and choose the fields yourself.
How do I bill by square feet?
- 1
Create the profile
Go to Items & stock, Lists, Measurements and choose New profile. Pick a ready-made one such as Size (L × B, feet), or Work out a quantity and choose the formula, the unit the sizes are entered in and the unit the quantity is in.
- 2
Attach it to the item
On the item, set Measured by to the profile. The item must be sold in the same unit as the profile quantity, for example Sq ft.
- 3
Add the item to a quote or invoice
The line asks for sizes. Enter each size with its number of pieces; BizOS shows each entry quantity and the total, and the line quantity follows.
- 4
Send it
The PDF prints the sizes under the line, so the customer sees how 80 Sq ft was arrived at.
On a line that works out its quantity, the Qty box is locked: change the sizes, not the number. BizOS recalculates the quantity on the server every time the document is saved, before pricing it, so a quantity price band picks on the real 80 Sq ft. Lines without a profile can also be measured: use the ruler on the line ("Measure this line with") to attach any profile, or remove the measurements.
In the rapid billing layout, scanning a measured item again or pressing + /
− counts pieces rather than square feet. See
Speed & offline billing.
Recording sizes: tailors and made-to-measure work
A Record sizes profile is your own list of fields (number or text, with an optional unit, and optionally required). Each entry on a line can be a person, so one invoice for a family's clothes records "Ravi", "Meena" and so on. The quantity stays what you typed, and the sizes print with the line.
The customer's measurement book
When you measure a line for a customer, Use saved fills in that customer's last saved sizes, and Save to customer keeps the ones you just entered. BizOS keeps the latest values per customer, per profile and per person. It is record-keeping only: nothing reads it except to pre-fill the next line. In the mobile app the measurements sheet shows the customer's saved people as chips, with an option to update their saved measurements.
Measurements on jobs
A job line can carry sizes too: the Add line dialog on a job takes measurements and the job card lists them. That is where a site measurer's or tailor's sizes live before billing, and billing the job's lines carries the sizes onto the invoice. Field technicians can measure lines on jobs they work on. Measuring job lines is on the web; the mobile app does not measure job lines yet.
On the phone
In the BizOS mobile app, the invoice and quotation composer measures lines:
- Adding an item that has a profile opens its sizes straight away.
- The sizes sheet shows one card per size with its pieces and quantity, and the line's quantity and amount update as you type. A half-filled size cannot be saved.
- On the bill, a measured line reads like "98 Sq ft · Edit sizes".
- Type the quantity myself removes the sizes, after asking first.
Profiles are created and edited on the web only.
What a measurement changes, and what it never does
- Copies, not links. Each line keeps its own copy of the profile, so editing or archiving a profile never changes a document already issued. Profiles are archived, never deleted.
- Converts carry the sizes. Quote → invoice, job → invoice and templates keep them.
- A size change is an amount change. Like any amount edit, it is blocked on a part-paid invoice and resets a quote's approval.
- No stock or tax of its own. Stock, Tally and the GSTR-1 export read the line's quantity and unit as before; a Sq ft line reports in the GST unit for square feet.
- Ask BizOS knows which items are measured and asks you for a missing size instead of guessing. See Ask BizOS.
- Importing items from a spreadsheet can set "Measured by" by profile name; it never creates a profile. See Data import.
Who can do what
| Role | Access |
|---|---|
| Owner, Admin, Manager | Create and edit profiles, measure lines, keep customers' measurements |
| Office staff | Measure quote, invoice and job lines and save customers' measurements; cannot create or edit profiles |
| Accountant | Sees measurements on documents; no editing |
| Field technician | Measures lines on jobs they work on; no access to the customer's saved measurements |
Common questions
- Can BizOS calculate square feet from length and breadth on an invoice?
- Yes. Attach a measurement profile such as Size (L × B, feet) to an item sold in Sq ft, then enter each size and the number of pieces on the line. BizOS works out the quantity, prices it per Sq ft and prints the sizes on the invoice.
- Which formulas does BizOS support for measurements?
- BizOS supports area (length × breadth), volume (length × breadth × height), running length and perimeter (2 × (width + height)). The list is fixed on purpose, so the quantity is always the same on every screen and device.
- Can a tailor use BizOS to record customer measurements?
- Yes. A Record sizes profile in BizOS holds fields such as chest, waist and sleeve. They are recorded per person on the line, printed on the bill, and can be saved to the customer so the next order starts from them.
- Can BizOS charge a minimum size per piece?
- Yes. A BizOS measurement profile can round each piece up to a step and set a minimum per piece, so a small 2 × 1 ft banner can be charged as 4 Sq ft.
- Can I enter sizes in inches and bill in square feet in BizOS?
- Yes. A BizOS profile takes sizes in feet, inches, metres, centimetres or millimetres and works the quantity out in the item's unit, such as Sq ft or Sq m.
- Do measurements change stock in BizOS?
- No. Measurements in BizOS move no stock and post nothing on their own. The line simply carries the measured quantity, and stock, Tally and GST exports read that quantity as they read any other.
- Does the BizOS mobile app support measured lines?
- Yes, on invoices and quotations. The BizOS mobile composer opens a sizes sheet for measured items and updates the quantity and amount as you type. Job lines are measured on the web only for now, and profiles are managed on the web.
