Delivery notes & charges
"I never got the second carton." "Who paid the tempo?" "Did we even make money on that order after the delivery?" A bill records what you sold. A delivery note records what the customer received, and those are different facts. In BizOS the customer confirms each line from a link on their own phone, can mark a quantity short or damaged, and that confirmation stays on the invoice, the job and the customer timeline. The same note prints as a GST delivery challan, says who pays for the trip, and records what the trip cost you.
How it works
- 1
Create the note
From an invoice, a job, a sales order or the Deliveries list. Lines are prefilled from the source document; add transporter and vehicle details if goods are moving by road, and choose who pays for delivery.
- 2
Send the link
One tap sends the customer a WhatsApp message with a no-login link. A business without WhatsApp connected can copy the link instead.
- 3
The customer confirms
They see each line, accept it or enter a lower quantity with a reason (short, damaged, wrong item), and can verify with a one-time code sent to their registered number.
- 4
Evidence stays on the record
The invoice, the job and the customer timeline show who confirmed, how, and when. Discrepancies are visible before anyone starts chasing payment.
Staff-recorded is labelled as staff-recorded
When a customer genuinely cannot confirm, a permitted member can record the acceptance with a reason (confirmed in person, signed a paper challan, confirmed by phone, no phone). It is shown in a different colour with a different label on every screen and on the challan, and it never claims the customer's own verification. A staff record cannot overwrite a decision the customer already made.
Reminders and stale deliveries
If the customer has not responded, BizOS reminds them at 08:45 IST after a two-day grace, at most twice and at most once a day. Reminders can be switched off per note, or for the whole business under Settings → Customer messages → Automatic messages. After seven days a pending delivery is flagged on the dashboard for a person to handle. A reminder that could not be sent (monthly cap, no phone) does not count as one.
The GST delivery challan
Rule 55 of the CGST Rules requires a delivery challan when goods move without a tax invoice: job work, sale on approval, quantity not known at dispatch, or an invoice that follows the goods. Download it from the note. It has its own Challan tab under Settings → Selling → Document design, so it carries your branding; bank details are off by default and the signature line is left blank for the receiver.
The same challan is used when equipment goes out on rent and when one branch sends stock to another on the same GSTIN (see Inventory).
No e-way bill
The transport fields are printed on the challan only. Consignments above the e-way bill threshold still need an e-way bill raised on the government portal.
Who pays for delivery?
Every new delivery note has Who pays for delivery in its transport section. You pick it by hand; BizOS has no zone or distance rules.
| Choice | What BizOS records as your expense |
|---|---|
| We pay | The full cost of the trip |
| Shared with the customer | Only your business's part |
| Customer pays | Nothing |
Notes made before this choice existed show no answer, and record nothing until you pick one. The choice is not part of the evidence, so it can still be changed after the note is sent, but a note that already has a cost recorded cannot be switched to Customer pays until that cost is deleted.
How do I record what I paid the transporter?
On the delivery note, the Delivery charges panel shows who pays and what has been paid. Record delivery cost opens the expense dialog linked to the note, with Transport and the note's transporter filled in. The cost is an ordinary expense: it appears once in the day book and the expense list ("Delivery DC-…") and the note and the bill only read it. It is refused on a Customer pays note.
Charging the customer for delivery
The customer's share is never a payment, a receipt or a bill of its own in BizOS. If you charge for delivery, add a delivery line to the invoice by hand.
Profit on this bill
An issued invoice has a Profit on this bill panel, worked out each time it is opened, nothing stored:
| Line | What it counts |
|---|---|
| Sales | The bill total less GST, less any credit notes on it |
| Cost of goods | What the stock cost when it left (the cost recorded at that moment), plus goods a job supplied at the job's cost, less returns valued at what they went out at |
| Delivery cost | Expenses on the bill's delivery notes whose goods were delivered |
| Profit | Sales − cost of goods − delivery cost |
- Only delivered goods count against the bill. A draft note has not left, a cancelled one never went, and a rejected one came back: their cost stays a business expense but is not this bill's.
- A challan made from the bill's job or sales order, and tied to no bill, counts once, on that job's or order's first issued bill.
- Items with no purchase price went out at ₹0 cost, which makes the profit read high; the panel says how many such lines there are.
- Service lines carry no cost of goods.
Who sees profit, and what is not built yet
Profit on this bill is shown to the Owner and Admin only for now. Delivery charges are on the web; the mobile app does not show them yet. There is no bill-wise profit report yet, freight expenses are not pushed to Tally, and the who-pays choice is not printed on the challan.
Deliveries and automation
Workflows can fire when a delivery note is sent, accepted (fully or partly), rejected, or still awaiting the customer after the grace period, so a short delivery can open a follow-up or notify the owner automatically. A condition on the confirmation method tells a customer's confirmation from a staff-recorded one. See Workflows.
Who can do what
| Role | Delivery notes | Delivery charges |
|---|---|---|
| Owner, Admin | Everything, including recording an acceptance for the customer | Set who pays, record costs, see profit on a bill |
| Manager | Create, send, remind, cancel, record an acceptance for the customer | Set who pays, record costs; no bill profit |
| Accountant | View notes, status and challans | Record and see costs; who pays is view-only; no bill profit |
| Office staff | Create, edit, send, remind and cancel; cannot record an acceptance for the customer | Set who pays, record their own costs; no bill profit |
| Field technician | Notes for jobs they work on, or assigned to them | Record a cost on a note they can see; no bill profit |
Common questions
- Does accepting a delivery in BizOS mark the invoice as paid or the job as done?
- No. In BizOS, acceptance is evidence that the customer received the goods. Invoice status follows payments and job status follows the job board, as before.
- What if the customer never opens the BizOS delivery link?
- The note stays pending. BizOS reminds them twice at most, then flags the delivery on the dashboard after seven days for you to call. Nothing is auto-accepted.
- Can I use the BizOS challan as an e-way bill?
- No. The BizOS challan carries the transporter and vehicle details but files nothing with the GST portal; raise the e-way bill there when the consignment value requires one.
- Who can record an acceptance on behalf of a customer in BizOS?
- The Owner, Admin and Manager, and any extra role BizOS support grants it to. The record needs a reason from a fixed list and is always shown as staff-recorded, never as the customer’s own confirmation.
- How do I record freight or transport charges for a delivery in BizOS?
- Choose who pays for delivery on the note. If your business pays all or part, use Record delivery cost on the note: BizOS records it as an ordinary expense linked to that delivery, so it shows in the day book and against the profit on that bill.
- Can BizOS bill the customer for delivery charges?
- Add a delivery line to the invoice yourself. BizOS never turns the customer’s share of delivery into a separate payment or bill, so what the customer is charged is always visible on the invoice.
- Can I see the profit on one bill after delivery costs in BizOS?
- Yes, if you are the Owner or an Admin. The Profit on this bill panel on an issued invoice shows sales less GST, less the cost of the goods when they left stock, less the cost of deliveries whose goods were delivered.
