AMC & contracts

An AMC is the most profitable thing a service business sells and the easiest thing to lose: it expires quietly. BizOS tracks the term, schedules every service visit at the moment of purchase, and reminds you before the renewal window closes.

A contract record

FieldNotes

Title“AC AMC — 3 splits, office”

The list defaults to expiring soonest first, because that is the only order that matters when you open this screen.

Packages: sell once, schedule everything

A contract package is a template for something you sell repeatedly — “12 months of RO care”, “Annual AC service — 2 units”. It has a duration, a price, and a list of tasks.

Each task is either recurring (filter change every 3 months, starting month 3) or one-time (deep clean at month 6), and carries a line plan: the items and labour that visit involves, each marked covered or chargeable.

What happens when you sell one

Every service visit for the whole term is created immediately — and so is a job for each one. From the moment of purchase, neither you nor the customer has to remember a service date again.

Covered lines land on the visit’s job at ₹0, described as covered by the contract (with the original worth kept on the record, so you can show the customer what the AMC saved them). Chargeable lines carry their price and bill normally.

Editing a package never rewrites sold contracts

A sold contract holds a snapshot of the task definition. Change the package next month and existing customers keep exactly what they bought.

Service visits

Each visit tracks its due date and status:

StatusMeaning
PlannedScheduled, no job yet (rare — the normal path creates jobs upfront)
Job createdThe job exists and is on the board
DoneThe linked job reached a done stage
SkippedDeliberately skipped, with a reason

Overdue isn’t stored — it’s computed from the due date, so a visit can never be stale-flagged.

A daily sweep nudges ahead of each visit: it raises a follow-up for the assignee, and — if customer updates are on — can message the customer that their service visit is coming up. The nudge fires once per visit.

Renewal reminders

The daily sweep also handles the term itself:

  • On each reminder offset before the end date (30 and 7 days by default), the owner is nudged, and the customer can be too.
  • On the day after the end date, an active contract is flipped to expired — so an expired AMC is never quietly still counted as active.
  • contract.created, contract.expiring, contract.expired and contract.renewed are all workflow triggers, so you can build your own escalation on top.

Renewing creates a new contract linked to the old one, which keeps the history readable: you can see that this customer is in year three. Renewal quote makes a quotation from the contract, so you can send the customer next year’s price before the term runs out.

A rental contract is not an equipment rental

The Rental contract type tracks a rental agreement as a term: start and end dates, value, billing cycle and renewal reminders, like any other contract. It does not track which equipment is out, does not send a challan and does not work out rent by days. For renting out equipment you own (scaffolding, generators, tools), use the Rentals add-on described in Equipment & rentals.

Where contracts show up

  • Contracts in the sidebar: the list, filtered to expiring, active or all.
  • Dashboard — AMCs expiring this month, and an alert per contract inside its reminder window.
  • Customer page — every contract that customer holds.
  • Jobs — each service visit’s job appears on the board like any other.

Plan availability

Contracts and packages come with the Jobs & Field Service module, which is in the Service Pro and Complete bundles. See Plans & billing.

Common questions

How does BizOS stop AMCs from expiring unnoticed?
Every active contract is swept daily. Reminders fire on day-offsets before the end date — 30 and 7 days by default — and expiring contracts appear on the dashboard attention panel. On the day after the end date the contract is flipped to expired rather than left looking active.
Do I have to schedule each AMC service visit myself?
No. Sell a contract from a package and every service visit for the whole term is created at once, each with its own job on the board. A pre-visit nudge raises a follow-up for the assignee and can message the customer.
What happens if I edit a package after selling contracts from it?
Nothing changes for sold contracts. Each holds a snapshot of the task definition at purchase, so customers keep exactly what they bought.
How do I show a customer what their AMC covered?
Covered lines appear on the visit's job at ₹0, described as covered by the contract, with the original worth kept on the visit record — so the value delivered under the contract is visible.
Can I track warranties and subscriptions too, not just AMCs?
Yes. A BizOS contract can be typed as AMC, warranty, subscription, rental or other, and the term tracking, reminders and renewal chain work the same way for all of them. Renting out your own equipment by the day is a separate BizOS feature, Equipment & rentals.
Which BizOS plan includes AMC contracts?
AMC contracts and packages come with the BizOS Jobs & Field Service module, which is included in the Service Pro and Complete bundles, because every contract service visit is created as a job.
