Invoices

Invoices answer “who hasn’t paid me, and how much is overdue?” Make the bill in a minute, issue it, send it on WhatsApp, and let payments update it on their own. Money owed is what the list leads with.

Tracking what is owed

The list leads with balance due and status, so overdue money stands out:

StatusMeaning
DraftNot issued yet: no stock moved, not sent, not chased
SentIssued and awaiting payment
PartialPartly paid
OverduePast its due date, unpaid
PaidSettled in full
CancelledCancelled, or fully credited by a credit note

Filter by status, or open the ageing buckets that the dashboard and the receivables report link into.

How do I make an invoice?

  1. 1

    Start the bill

From Invoices choose New invoice, or start from an accepted quote, a sales order, a completed job or a saved template, so the lines are filled in for you.

  2. 2

Pick the customer and add lines

Catalogue lines price themselves from the customer’s price level. Type a quantity, a rate (including GST if your business uses that setting) and an optional discount in % or ₹.

  3. 3

Check the branch, number and date

If you have branches, pick the branch issuing the bill. The number preview follows the bill’s date. The invoice date defaults to today and can be changed.

  4. 4

    Save draft

The draft is saved with its number. Nothing has moved yet and the customer has not been sent anything.

  5. 5

    Issue

Issue moves stocked items out of inventory and makes the bill a receivable. BizOS confirms first, for example Issuing reduces stock for 3 items.

  6. 6

    Send

Send it on WhatsApp as a no-login link, download or print the PDF, or create a payment link. Record cash, UPI, bank or cheque payments as they come in.

Where the lines come from

  • From an accepted quote: lines carry over at the price the customer accepted, with the quote’s price level. A quote that has a sales order is billed through the order instead.
  • From a sales order: everything left, picked quantities, or only what has been delivered. No line can be billed beyond the order. See Sales orders.
  • From jobs: the billable, unbilled lines of one job or several jobs for the same customer, on one invoice.
  • From a template: a saved set of lines for something you bill repeatedly. Catalogue lines re-price for this customer.
  • From scratch: pick a customer and add lines.

Due dates follow your payment terms (30 days out of the box, Settings → Selling → Invoices & quotes).

Discounts

  • Per line: a percentage or a flat ₹ amount off that line, one or the other.
  • Per invoice: an order-level discount that reduces the taxable value proportionally, so GST is charged on what the customer actually pays.

Rates including GST

With Type rates including GST on (the default for a registered business), you type the price agreed with the customer and the bill totals exactly that. BizOS stores the pre-GST rate, so the PDF, GSTR-1 and Tally are unchanged. See GST billing.

Sizes and measurements

An item sold by size (flex per sq ft, flooring per sq m) can work out its quantity from length and breadth, and a tailor’s sizes can be recorded and printed on the line. See Measurements.

A price level for this bill only

A customer’s price level sets every line’s default rate. For a one-off bulk order, or a counter sale to a wholesale regular, pick a different level in the Items header of the editor. It re-prices every catalogue line for this invoice only. It replaces the customer’s level rather than adding to it, and leaves hand-typed rates and discounts alone. Choose “Customer’s price level” to go back. Moving the level counts as an amount change, so it is not allowed once the invoice is part-paid. Owners, Admins and Managers can pick a level; Office staff cannot.

Branch, series and typed numbers

  • With branches, the editor has a branch picker on a new bill. The branch is fixed once the bill is made, because its number came from that branch’s series. A bill made from a quote, order or job stays at that record’s branch.
  • If a branch has more than one invoice series, a Series picker appears.
  • If the Owner allows typed numbers on the series, you can type the number of a bill already written by hand.

Fast counter billing

Switch the editor into the Compact or Rapid layout to bill by keyboard or barcode scanner, and keep billing when the connection drops. See Speed & offline billing.

Issuing and sending

A draft is a workspace; issuing is the commitment. On issue, BizOS:

  1. Moves stocked lines out of inventory, at the bill’s branch.
  2. Makes the invoice a receivable and starts the reminder clock.
  3. Applies any advance held on the bill’s sales order.
  4. Queues the sales voucher for Tally, if you sync invoices.

A draft is never sent. Send, WhatsApp re-send and share links work only on an issued invoice. (For integrations: issue first, then send. See API & webhooks.)

Editing, cancelling or deleting an issued invoice

BizOS is forgiving until the record has reached your accountant:

Invoice stateWhat you can change
DraftEverything
Issued, nothing paidEverything. Changing items or quantities adjusts stock to match.
Issued, part or fully paidNotes, dates and custom fields only. Reverse the payments first if the lines must change.
CancelledNothing
Locked by TallyNothing. Raise a credit note.

GST cannot change on an issued invoice: it is fixed at what was billed.

Deleting. An invoice can be deleted at any status, and its payments are deleted with it. BizOS refuses, and says what to do instead, when:

  • the invoice is locked by Tally sync,
  • a credit note exists against it, or
  • one of its payments is locked by Tally sync.

Deleting retires the invoice number for good, so the confirmation names the number and suggests cancelling instead: a gap in the series is something your CA will ask about. Deleting puts stock back and frees the job lines for re-billing, but messages already sent and automations already run are not undone.

When is an invoice locked by Tally? While a Tally connection exists and invoices are set to sync, every issued invoice is locked, and once Tally has accepted the voucher it stays locked even after disconnecting. Drafts are never locked by the connection. Correct a locked invoice with a credit note.

Who can do it. Owner, Admin and Manager can edit, cancel and delete issued invoices and reverse payments. Office staff can edit within the rules above and delete drafts, but not cancel or delete an issued invoice. The Accountant sees invoices and can chase them, but does not create or change them.

Sending and collecting

The detail page shows the total, what is paid and the balance due, every payment against the invoice, and the actions that matter:

  • WhatsApp: send as a branded, no-login link. Re-send if they lost it.
  • PDF and Print, with your document design. On a GST invoice the menu also offers the other tax style (GST breakup, or GST included in rates). With a letterhead switched on, Print prints on your pad.
  • Payment link: with your own Razorpay account connected, create or copy a link the customer pays by UPI or card. Settings → Selling → Payments can make one whenever an invoice is sent.
  • Record payment for cash, UPI, bank transfer or cheque. Each payment gets a numbered receipt. See Receipts & advances.
  • Apply an advance: when the customer has money held with you, the invoice offers to apply it. Advances against a sales order are applied on issue.
  • Payment reminders on / off for this invoice.
  • Deliver goods (challan) and Raise a credit note from the More menu.
  • Save as template if you will bill this again.

As payments land, balance and status update themselves, including online payments, which reconcile from Razorpay without anyone touching the invoice.

Automatic chasing

BizOS reminds customers about unpaid invoices on day offsets around the due date: 3 days before, on the due date, 3 days after and 7 days after by default. Reminders go out in the daily run at about 07:15 IST, at most one per invoice per day, and never to a customer who has opted out.

Pause chasing on one invoice (the customer who has promised to pay on the 15th) without switching it off for everyone else.

Profit on this bill

Owners and Admins see Profit on this bill on an invoice: sales before GST, less credit notes, less the cost of the goods at the time they went out, less the delivery costs your business paid for the goods on this bill. Nothing is stored; it is worked out each time. See Deliveries.

The customer’s view

The shared link shows your invoice as your business: logo, colours, terms, and the right seller details for the branch. When a payment link exists it has a Pay now button; the invoice flips to Paid when the payment succeeds. You can see when the link was first and last opened.

Opening balances

Money owed to you from before BizOS can be imported through the import wizard. Those invoices are chased like any other but are left out of revenue totals and GSTR-1, because the sale happened before BizOS.

Payment receipts

Every recorded payment gets a numbered receipt (RCPT-0001 onwards; prefix and next number in Settings → Selling → Numbering). A receipt acknowledges money and nothing else: no line items, no HSN, no tax and no bank details. Its look comes from the Receipt tab in Settings → Selling → Document design.

Common questions

Does BizOS create GST invoices?
Yes. A GST-registered business in BizOS issues TAX INVOICE documents with its GSTIN, HSN or SAC per line, CGST and SGST or IGST by place of supply, and the HSN-wise summary, and can export GSTR-1 for the month. BizOS does not file returns or generate e-invoice IRNs.
Can I issue an invoice without GST if my business is registered?
No. In BizOS, GST follows the business's registration, so every invoice of a registered business charges GST at its line rates. A line can carry 0%. To give the customer a copy without tax columns, print the Prices incl. GST style; the GST is still recorded.
Can I edit an invoice after I have issued it in BizOS?
Yes, fully, until a payment is recorded; stock adjusts to match. Once paid or part-paid, only notes, dates and custom fields can change. An invoice locked by Tally sync is corrected with a credit note instead.
Can I delete an invoice in BizOS?
Yes, at any status, unless it is locked by Tally sync, has a credit note against it, or has a payment locked by Tally. Its payments are deleted with it and the invoice number is retired for good, so cancelling is often the better choice.
Why can't I send a draft invoice?
BizOS sends only issued invoices. Issuing is what moves stock and makes the bill a receivable, so a draft stays private until you press Issue. Then Send on WhatsApp, the share link and the payment link become available.
Can I give a discount in rupees instead of a percentage?
Yes. Each line takes either a percentage or a flat rupee amount off that line. There is also an order-level discount that reduces the taxable value proportionally so the GST stays correct.
How do I bill several jobs on one invoice?
Create the invoice from the customer's jobs and pull in the billable, unbilled lines from each. Billing lives on the job lines in BizOS, so one invoice can cover many jobs and one job can be billed across several invoices.
Can my customer pay online?
Yes, if you connect your own Razorpay account. The shared invoice link then has a Pay now button for UPI or card, money settles into your account directly, and BizOS marks the invoice paid when the payment succeeds.
Does BizOS chase overdue invoices automatically?
Yes. BizOS sends payment reminders 3 days before the due date, on the due date, and 3 and 7 days after by default, at most once per invoice per day and never to a customer who opted out. You can pause reminders on a single invoice.
