Accounting exports for your CA

"My CA wants the month's bills, and I don't want to type them into Tally again." BizOS runs the day (quotes, jobs, bills, payment chasing), and the GST invoices and receipts it makes are the records your CA needs. If your CA works in Zoho Books, or prefers a file to a live connection, BizOS exports them in one file, one GSTIN at a time. BizOS works with Tally from day one: alongside first, then instead. The export is the simplest way to start.

Use one or the other for a period

If live Tally sync already pushed a period, do not import the export file for the same period into that Tally company. The file uses Tally's own voucher types and its own receipt references, so Tally would move the pushed vouchers into its own types and rename the receipts.

What’s in the export?

IncludedNot included
Sales invoices that are sent, paid, part paid or overdueDraft and cancelled invoices
GST split per invoice: CGST + SGST (within the state) or IGST (across states)Credit notes: sent by Tally sync and included in GSTR-1, not in this file
Receipts, tagged by mode (cash, UPI, bank, cheque). In the Tally file an advance is marked "on account"Supplier purchase bills: BizOS does not keep them; your CA enters them as before
Customer (party) masters with GSTIN and addressJournal entries and stock vouchers
Stock sent to another GSTIN of your business on a tax invoice: a sale in the sender's exportGSTR-1: a separate file on the GSTR-1 tab
Stock received from another GSTIN of your business: a purchase in the receiver's export
Opening balances brought in by the import wizard, marked in the narration

Receipts are optional. Some accountants prefer to enter receipts from the bank statement, so the form has a switch for it.

Who can export?

  • Roles: Owner, Admin and Accountant. The Accountant can export without being able to change settings, numbering or bank details. See Roles & permissions.
  • Every branch: an export is the business's books for a GSTIN, so a member limited to some branches cannot export.
  • Plan: exports are part of the Tally Sync add-on, which the Complete bundle includes. See Plans & billing.

The monthly routine

  1. 1

Open Accounting, then Export for CA

Accounting is in the BizOS sidebar. The Export for CA tab holds the form and your export history.

  2. 2

    Pick whose books

If your business has more than one GSTIN, choose it in Books of. Each export covers the bills and receipts of the branches on that one GSTIN.

  3. 3

    Check the date range

The range starts the day after your last export and ends today, so nothing is skipped. Shortcuts cover this month, last month and this financial year. One export can cover up to 366 days and 5,000 invoices.

  4. 4

    Choose the format

TallyPrime XML if your CA uses Tally, or the Zoho Books CSV zip if they use Zoho Books. For Tally, check the Tally sales ledger name matches the sales ledger your CA uses. Decide whether to include receipts.

  5. 5

    Export

Press Export. The file is prepared in the background and appears in Export history as Ready, with the invoice and receipt counts, and BizOS notifies you.

  6. 6

    Send it

Download the file and send it to your CA on WhatsApp or email. The BizOS invoice number is the shared reference for any question that comes back.

How does your CA import it into TallyPrime?

  1. Open the company for that GSTIN in TallyPrime.
  2. Gateway of Tally → Import Data → Vouchers.
  3. Select the .xml file and accept.

The first import creates the masters it refers to: party ledgers under Sundry Debtors with GSTIN and address, the sales ledger, CGST / SGST / IGST under Duties & Taxes, a Round Off ledger, and a bank ledger for non-cash receipts. Cash receipts use Tally's built-in Cash ledger.

Which names the file uses depends on whether that GSTIN is connected to Tally:

  • GSTIN not connected to Tally: the sales ledger is the Tally sales ledger name on the export form ("Sales - BizOS" until you change it), the bank ledger is "Bank - BizOS", and tax goes to CGST, SGST and IGST.
  • GSTIN kept in a connected Tally company: the file posts exactly as live sync does, using that company's ledgers and its ledger rules by GST rate and by branch, and it creates masters for every ledger it used (a branch's own cash ledger included).

Your CA can check the month in Display → Statutory Reports → GST → GSTR-1.

Re-exporting is safe

Every voucher carries a stable id. If an invoice is corrected and you re-export the same range, importing the new file replaces those vouchers. That is why BizOS does not lock a range after you export it.

How does your CA import it into Zoho Books?

The download is a zip of CSVs, with headers that match Zoho's own templates. Import them in this order so references resolve:

  1. Contacts.csv: Contacts → ⋮ → Import Contacts.
  2. Invoices.csv: Sales → Invoices → ⋮ → Import Invoices. One row per line; Zoho groups rows by invoice number. Place of supply and GST treatment drive the CGST/SGST or IGST split on Zoho's side.
  3. CustomerPayments.csv: Sales → Payments Received → ⋮ → Import.
  4. Vendors.csv and Bills.csv are in the zip only when another GSTIN of your business sent stock to this one. Import Vendors.csv first, then Bills.csv.

On a re-import of the same range Zoho flags duplicate invoice numbers. Skip those rows, or delete and re-import if the invoices changed.

Things worth knowing

  • Invoices are picked by the day they were made in BizOS, receipts by the day the money was received, and transfers by the day they were dispatched.
  • The "since last export" start date follows your business's own GSTIN. Exporting another GSTIN's books does not move it.
  • Opening balances brought in by the import wizard export as plain, no-tax vouchers marked "Opening balance import". They are receivables from before BizOS, not new sales.
  • Renamed customers appear as a new party ledger in the next file. Your CA can merge the old one in Tally. Live Tally sync renames the ledger instead.
  • Receipts in the Tally file carry a BizOS RCPT- reference of their own, not the printed receipt number.
  • Everything balances to the paisa. A round-off line absorbs any rounding, so a voucher never fails import for a one-rupee difference.

GSTR-1 from BizOS

GST-registered businesses also get a GSTR-1 tab on the Accounting page. BizOS prepares GSTR-1 per GSTIN from the invoices and credit notes it issued, as the JSON the GST portal's offline tool uploads, or as CSVs for your CA. It lists what to fix first. BizOS does not file it. See GST billing.

Share this page with your CA

It is written for them as much as for you. Send the link once and the monthly hand-off explains itself.

Common questions

Can I export BizOS invoices to Tally?
Yes. In BizOS, Accounting, Export for CA exports a date range as a TallyPrime XML that your CA imports through Gateway of Tally, Import Data, Vouchers. The first import creates the party ledgers, sales ledger, GST ledgers and round-off ledger it refers to.
Can I export BizOS invoices to Zoho Books?
Yes. BizOS exports a zip of Zoho Books CSVs: Contacts, Invoices and CustomerPayments, plus Vendors and Bills when another GSTIN of your business sent you stock. The headers match Zoho’s own import templates.
My business has branches on two GSTINs. Can I export them separately?
Yes. BizOS exports one GSTIN per file. Choose the GSTIN in Books of, and the export covers the bills and receipts of the branches on that GSTIN. Stock sent between your two GSTINs on a tax invoice appears as a sale in the sender’s file and a purchase in the receiver’s.
Should I use the export or live Tally sync?
Use live Tally sync if your CA works in TallyPrime and you want Tally kept in step every day, with credit notes and stock. Use the BizOS export if your CA uses Zoho Books or prefers a file. Do not import the export for a period that live sync already pushed.
What if I re-export a range I have already sent?
It is safe. Every voucher in the BizOS Tally file carries a stable id, so re-importing replaces those vouchers rather than duplicating them. A corrected invoice can always reach your CA’s books.
Are credit notes in the BizOS export file?
No. BizOS credit notes reach Tally through live Tally sync, and they are included in the BizOS GSTR-1 file, but the export file for your CA does not carry them.
Does BizOS file my GST returns?
No. BizOS prepares GSTR-1 as a JSON for the GST portal’s offline upload, or CSVs for your CA, but you or your CA upload and file it. GSTR-3B is prepared in your CA’s package, and BizOS does no e-invoicing or e-way bills.
Who in my team can run an accounting export in BizOS?
The Owner, an Admin or the Accountant. The Accountant role can export without changing settings, numbering or bank details. A member limited to some branches cannot export, because an export is the whole GSTIN’s books.
