How do I…?

The everyday jobs of running a local business, one question at a time, with the short answer and the page that has the detail. If you know what you want to do but not where it lives in BizOS, start here.

Billing and GST

How do I make a GST invoice in BizOS?
Open Sell, then Invoices, start a new invoice, pick the customer and add lines from your item list or as free text. If your business is marked GST-registered under Settings, Business, Profile & GST, BizOS charges GST on every line at the item's rate, prints TAX INVOICE, and splits the tax into CGST and SGST or IGST from the seller's and customer's GSTINs. BizOS numbers it from your series; issue it when it is final, which moves stock and makes it owed. See the Invoices and GST billing pages.
How do I type prices that already include GST?
BizOS takes rates including GST by default for a GST-registered business, so a price typed as 17,000 rupees bills exactly 17,000 rupees and BizOS works out the tax inside it. The switch is Type rates including GST under Settings, Business, Profile & GST. See GST billing.
How do I give a customer a bill without tax columns?
Download the PDF as the GST-inclusive customer copy: same grand total, rates shown including GST, no tax columns, titled INVOICE. BizOS still records the full GST for returns, and the tax invoice is always available. A template can make the inclusive copy its default. See Document design.
How do I set my bill numbers, including the financial year?
Go to Settings, Selling, Numbering. Each series has a prefix, a number of digits and a suffix, and can carry the year, for example INV/{FY}/ printing INV/25-26/, with the counter restarting every April or every month. BizOS can also continue from your last number in Tally or a bill book. See Document numbering.
How do I correct an invoice I have already sent?
If nothing has been paid on it and it has not reached Tally, edit it in BizOS. If it is part-paid, only notes, dates and custom fields can change until the payments are reversed. If it is already in Tally, raise a credit note from the invoice, which reduces what is owed and puts stock back. See Invoices and Credit notes.
How do I print bills on a thermal printer or on my letterhead?
In Settings, Selling, Document design, pick the Simple Thermal (80mm) design for a counter roll printer. For pre-printed letterhead, switch letterhead on, set the top and bottom margins of your pad, and choose My letterhead as the paper for each document type. Copies sent to customers get your letterhead scan drawn in. See Document design.
How do I bill a customer at a wholesale rate for one order only?
Pick a different price level in the Items header of the invoice or quotation editor. It re-prices that document's catalogue lines without changing the customer's usual tier. See Price lists.
How do I bill by size, such as square feet or a tailor's measurements?
Create a measurement profile under Items & stock, Measurements, and attach it to the item. A computed profile works the quantity out from the sizes, for example 10 ft by 4 ft by 2 pieces is 80 sq ft; a record-only profile prints the sizes, such as chest and waist, with the line. See Measurements.
How do I take an order and bill it in parts?
Switch on sales orders under Settings, Selling, Sales orders, then turn an accepted quotation into a sales order. Collect an advance against it, and make invoices from it as you supply; BizOS tracks what is ordered, billed and still to bill and never lets a line be billed beyond the order. See Sales orders.

Getting paid

How do I send an invoice on WhatsApp?
Issue the invoice and send it. BizOS sends a WhatsApp message with a link the customer opens without an app or login, showing your bill, a UPI QR for the balance when your UPI ID is set, and a Pay now button if you use a payment link. See Invoices and WhatsApp.
How do I let customers pay online?
Connect your own Razorpay account in Settings, Selling, Payments, then create a payment link on an invoice or have links made automatically when invoices are sent. Money settles into your Razorpay account and the invoice marks itself paid. Payment links come with the Billing base. See Payments.
How do I record cash, UPI or cheque payments?
Open the invoice and use Record payment, choosing cash, UPI, bank transfer, cheque or other. The balance and status update at once, and the payment gets a numbered receipt you can download or send. See Payments and Receipts & advances.
How do I take an advance before the bill exists?
Use Record advance on the customer. The money is recorded with its own receipt and held for that customer, then applied to one or more invoices later with one tap. An advance against a sales order is applied automatically when a bill from that order is issued. See Receipts & advances.
How do I chase customers who have not paid?
Switch on payment reminders under Settings, Customer messages, Automatic messages. BizOS then sends a WhatsApp reminder 3 days before the due date, on it, and 3 and 7 days after by default, at most once a day per invoice, and stops when it is paid. Pause reminders on one invoice when a customer has promised a date. The dashboard and Follow-ups list who to call. See Payments and Follow-ups.
How do I know how much cash each staff member is holding?
Open Money, then Cash drawer. Each person's figure is the cash payments they recorded minus the handovers they made; record a handover when they give the cash in. See Payments.
How do I bring in dues from before I used BizOS?
Import them as opening dues from Settings, Connections & AI, Import from Excel. BizOS chases them like any invoice but keeps them out of this year's sales totals. See Data import.

Stock

How do I keep stock right without a stock sheet?
Add your items with an opening quantity, then let BizOS move stock: issuing an invoice takes it out, a credit note puts it back, a stock-in adds it and a count is recorded as an adjustment. Each item has a stock ledger of every movement. See Items & stock.
How do I find out what to reorder?
Set a low-stock level on each item. BizOS lists items at or below it, and you can turn them into a reorder list and send it to the supplier on WhatsApp, then mark lines received when goods arrive. See Items & stock.
How do I keep stock in more than one godown or branch?
Several godowns and transfers between them come with the Stock Plus module. With the Branches add-on, each branch has its own stock, and goods sent to another branch are in transit on a challan until that branch receives them. See Items & stock and Branches.
How do I track tools and equipment my technicians take?
Add them under Items & stock, Equipment, as single units with a tag or as a counted pool such as ladders. A technician takes equipment for a job or as their own kit and returns it, and BizOS keeps the full history of who had what. See Equipment & rentals.
How do I rent out equipment with a deposit?
With the Equipment Rentals add-on, make a rental with day, week or month rates, take the security deposit as a payment held for that rental, send the equipment out on a challan the customer confirms, and bill rent as it falls due, including part returns and late days. See Equipment & rentals.

Customers and leads

How do I stop losing enquiries in WhatsApp?
Add each enquiry as a lead on a pipeline board with stages you name, assign it to someone, and let an automation nudge them when it goes idle. With the CRM & Leads module, enquiries from IndiaMART, Justdial, Facebook lead ads and your website can arrive as leads by themselves. See Leads.
How do I send a quotation and know when it is accepted?
Create it under Sell, Quotes, and send it on WhatsApp. The customer accepts or declines from the link and BizOS shows the change; an accepted quote becomes an invoice, a job or a sales order in a tap. Large quotes from office staff can need approval first. See Quotations.
How do I see what each salesperson has and how they are doing?
The Sales team view shows who holds which leads at which stage and each lead owner's results against a monthly target. Each person sees their own figures; a leaderboard can be shared, without anyone else's rupee amounts. See Sales team.
How do I remember who to call today?
Open Grow, then Follow-ups. It lists today's and overdue follow-ups for your customers, and you can add one from a customer's page with a date and an assignee. The Today screen also shows what is pending. See Follow-ups and Dashboard.
How do I add my own fields, like a vehicle number or site type?
Create a custom field under Settings, Work setup, Custom fields, and tick which records it belongs to: leads, customers, jobs, quotations, sales orders, invoices or contracts. It can be required, shown in lists, used in automations and printed on PDFs. See Custom fields.

Jobs and field work

How do I assign jobs to my technicians?
Create a job under Work, Jobs, and assign one or more people. A field technician opens the BizOS phone app to only the jobs given to them, moves them through your stages, logs time, adds materials and photos, and can collect payment. See Jobs and Mobile app.
How do I bill the material used on a job?
Add materials and time as job lines while the work happens, then make the invoice from the job. You can bill all lines, some now and the rest later, or several jobs on one invoice. See Jobs.
How do I run AMC contracts and service visits?
Create an AMC package with the visits it includes and sell it to a customer. BizOS plans every service visit and its job for the whole term at once, reminds before visits, and sends renewal reminders before expiry. AMC contracts come with the Jobs & Field Service module. See Contracts.
How do I get the customer to confirm a delivery?
Send a delivery challan from Work, Deliveries. The customer confirms what arrived from a WhatsApp link, optionally with a one-time code, or your staff records their confirmation. BizOS always shows which of these happened. See Deliveries.

WhatsApp and marketing

How do I send messages from my own WhatsApp number?
Connect your number under Settings, Customer messages, WhatsApp. Connecting your own number comes with the WhatsApp Business module; Meta then bills you for messages directly. Without it, BizOS sends from its shared number within your plan's monthly allowance, and sharing through your own WhatsApp app is always free. See WhatsApp.
How do I reply to all customer chats in one place?
Open Grow, then Chats. Every WhatsApp conversation sits in one shared inbox your team can answer, with each chat linked to its customer. See Communications.
How do I send an offer to many customers at once?
Create a campaign under Grow, Campaigns, choose an audience from your own customer and sales records, pick an approved WhatsApp template and send. Customers who replied STOP are always left out. Campaigns need the WhatsApp Business module and your own number. See Campaigns.
How do I automate thank-you messages and reminders?
Build an automation under Grow, Automations: when something happens, such as a payment recorded or a lead idle, check conditions, then send a WhatsApp template, create a follow-up, notify a teammate or wait. Ready-made recipes cover the common cases. See Workflows.
How do I ask BizOS a question about my business?
Use Ask BizOS to ask in plain words, such as who owes me the most, or to make a quote or record a payment for you. It acts with your own access, and every figure it shows comes from your records. A daily Brief can sum up your morning. Ask BizOS is not part of the free platform. See Assistant.

Tally and your CA

How do I connect BizOS to Tally?
Open Settings, Connections & AI, Tally and follow the six-step setup: install the small BizOS program on the Tally PC, pair it, retrieve Tally's masters, map them, choose what syncs, and complete. After that, bills, receipts and credit notes made in BizOS reach Tally as vouchers. It needs the Tally Sync module. See Tally setup.
How do I see my Tally data on my phone?
Connect TallyPrime to BizOS and set customers, items, invoices and receipts to come in from Tally. BizOS then shows your customers with what they owe, your stock and the bills made in Tally on Android, iPhone or any browser, and you can bill and collect from the phone too. Older dues from before your sync-from date are imported once from Tally's outstanding report exported to Excel. See Tally data on your phone.
How do I export a Tally report to Excel or PDF?
In TallyPrime, open the report and use Export (Alt+E) to save it as Excel or PDF. To stop exporting every day, connect Tally to BizOS: sales, dues and stock are then live on your phone, and any BizOS report downloads as PDF or CSV. See Tally data on your phone.
How do I give my CA the month's sales without Tally sync?
Open Money, Accounting, Export for CA and download a Tally XML file or a Zoho Books CSV set for the period, then send it to your CA. See Accounting exports.
How do I prepare GSTR-1?
Open Money, Accounting, GSTR-1, pick the month and fix anything on the issues list, such as a missing HSN. Download the JSON for the GST portal's offline upload, or CSVs for your CA. BizOS does not file the return. See GST billing.
How do I move my stock from Tally to BizOS?
During Tally setup, map each Tally godown to a BizOS stock location. Each godown then goes live on its own: BizOS takes Tally's quantity there as at yesterday and owns the quantity from today, sending every sale and transfer back to Tally. See Tally stock & godowns.

Team

How do I add staff and control what they see?
Invite them by mobile number under Settings, Business, Team & roles, and give each one of the six fixed roles: Owner, Admin, Manager, Accountant, Office staff or Field technician. Each role decides what they see and can change; a field technician sees only their own jobs. See Team & roles.
How do I give my accountant access without letting them change bills?
Give them the Accountant role. They see sales, money and reports, chase dues, and handle the Tally and GSTR-1 hand-off, but cannot create or change sales documents. See Team & roles.
How do I run two shops from one login?
If they are separate firms, add a second business from the business switcher; each has its own customers, bills, plan and team. If they are branches of one business, the Branches add-on, set up by BizOS support, gives each branch its own address, numbering and stock under one business. See Multi-business and Branches.
How do I get notified on my phone?
Install the BizOS app and sign in, or allow notifications in the browser from Settings, You, Notifications. Every in-app notice, such as a payment received or a job assigned, then also arrives as a push notification. See Notifications.
