Moving from Excel to BizOS

“I have a customer sheet, an invoice template, a pending-payments sheet and a stock sheet. Every evening I update all four, and they still don’t agree.” That is the point where a spreadsheet stops helping. BizOS keeps the same information, but each record updates the others: a bill moves the stock, a payment clears the due, and the reminder goes out on WhatsApp without you. You can import what you already have from Excel or Google Sheets in an afternoon.

Which sheet becomes which BizOS screen?

Your sheetIn BizOSWhat it does that the sheet couldn’t
Customer list (name, phone, GSTIN, address)CustomersShows what each customer owes and their last activity; the same phone number is never added twice
Invoice template in Excel or WordInvoicesNumbers, GST, totals and the PDF are done for you; sent as a WhatsApp link the customer can pay from
Quotation sheetQuotationsThe customer accepts from a link; an accepted quote becomes the invoice in a tap
Pending payments / udhaar sheetInvoices, follow-ups and payment remindersBalance and overdue status keep themselves current; reminders go out by themselves
Stock sheetItems & stockStock moves when you bill, receive or adjust; low-stock alerts and reorder lists
Rate list / price listPrice listsThe right rate for each customer appears on the bill by itself
Leads or enquiry sheetLeadsA board of stages, an owner per lead, idle-lead nudges; leads from IndiaMART, Justdial and Facebook come in by themselves
Job or work-order sheetJobsAssigned to a technician’s phone, with time, material and photos, then billed from the job
AMC renewals sheetContractsEvery service visit planned at sale; renewal reminders before expiry
Expense sheetExpensesA category and receipt photo on each, and a day book of money in, out and net
Cash collected by staffCash drawer, under PaymentsShows how much cash each person holds until they hand it in

Attendance and salary sheets stay where they are

BizOS has no staff attendance, leave or payroll. It records the time a technician spends on each job, which is not the same thing. Keep your attendance and salary sheet, or your payroll tool, for that.

What changes when you move?

  • The maths is done for you. GST follows whether your business is registered; CGST + SGST or IGST is worked out from the GSTINs; rates can be typed including GST, so a ₹17,000 price bills exactly ₹17,000. See GST billing.
  • Numbers never clash. Every bill takes the next number in its series, claimed on the server, so two people billing at once never get the same number. You can continue from your last paper or Excel number. See Document numbering.
  • Reminders happen without you. Payment reminders go out on WhatsApp 3 days before, on, and 3 and 7 days after the due date by default, at most once a day per bill. Pause them on one bill when a customer has promised a date.
  • Stock follows the bills. A bill takes stock out; a credit note puts it back; a stock-in adds it; a physical count is recorded as an adjustment. Every change is an entry in the item’s stock ledger.
  • Staff work on their phones. Each person gets a role, and a field technician sees only the jobs given to them. See Team & roles.
  • One copy of the truth. There is no “latest version” of a file to email round. Everyone sees the same customer, the same balance and the same stock, and the activity log shows who changed what.

Move your spreadsheets in an afternoon

  1. 1

    Tidy each sheet

One header row, no merged cells, no totals row at the bottom. Phone numbers can be written as 9876543210, +919876543210 or 98765 43210; BizOS normalises them.

  2. 2

    Import customers first

In BizOS open Settings, then Connections & AI, then Import from Excel, and choose Customers. Upload the file, match your column headers to BizOS fields, review, and import. Duplicates are matched on phone number and you choose to skip or update them.

  3. 3

    Import items with opening stock

Choose Items and include an opening quantity column. That quantity becomes the opening entry in the stock ledger, so stock starts from a real figure.

  4. 4

    Import what customers owe you

Choose Opening dues and bring in each unpaid balance from your pending-payments sheet. BizOS chases these like any bill but keeps them out of this year’s sales figures.

  5. 5

    Import open leads

If you keep an enquiry sheet, import it as Leads and put each lead on the stage it has really reached.

  6. 6

Fix the error file, if any

Rows with a mistake come back as a downloadable file with the row, the field and the reason. Correct that file and upload just it.

  7. 7

    Send one real bill

Make an invoice for an actual customer and send it on WhatsApp. Once you see it land, stop updating the old sheets.

More detail on each step is on Data import.

Can I still get my data out into Excel?

Yes, for the things you most often need:

  • Reports (revenue, receivables ageing, top customers, inventory movement, expense summary, day book and more) download as CSV or PDF. See Reports.
  • For your CA: a Tally XML or Zoho Books file per period (Accounting exports, with the Tally Sync module), and the GSTR-1 JSON plus one CSV per section.
  • The activity log exports too (Activity log).
  • With the API module, your own tools can read your records (API & webhooks).

When is Excel still fine?

A spreadsheet is still the right tool when:

  • you make a handful of bills a month, alone, with no stock and nobody else needing to see them;
  • you are planning or analysing (a budget, a price calculation, a what-if);
  • you need a one-off list that nobody will update again.

It stops being fine when more than one person updates it, when you need it on the phone, when money is owed and someone has to chase it, or when stock has to match what was billed. That is where BizOS helps, and the free platform is enough to find out.

Common questions

Can I import my customer list from Excel into BizOS?
Yes. BizOS imports customers from a CSV or Excel file of up to 20,000 rows: you upload it, match your column headers to BizOS fields, review the check, and import. Customers are matched on phone number, and you choose whether duplicates are skipped or updated.
Can I move my pending payments sheet into BizOS?
Yes. Import it as opening dues. BizOS then chases those balances like any other bill, including WhatsApp reminders, but keeps them out of this year's sales totals because the money was earned before you started using BizOS.
Can I import my stock sheet?
Yes. Import your items with an opening quantity. BizOS records it as the opening entry of each item's stock ledger, and from then on stock moves when you bill, receive goods or adjust it.
Does BizOS calculate GST like my Excel invoice template?
BizOS calculates GST for you on every line, from your GST registration and each item's rate, and splits it into CGST and SGST or IGST from the seller's and customer's GSTINs. You can also type rates including GST and BizOS works out the tax inside them.
Can I export my data from BizOS back to Excel?
BizOS reports download as CSV or PDF, the activity log exports, and your accountant can get a Tally XML or Zoho Books file and a GSTR-1 file. With the API module, other tools can read your records directly.
Is BizOS free for a small business moving off Excel?
BizOS has a free platform for one user with up to 100 customers and 20 invoices a month. The Billing base, at 2,999 rupees a year before 18% GST, removes those limits. Every new business also gets a 30-day trial with everything unlocked.
Does BizOS replace my attendance sheet?
No. BizOS has no attendance, leave or payroll. It records the time technicians spend on each job, so keep your attendance and salary sheet or payroll tool for that.
