Choosing billing software for an Indian business
“Which billing software should I use for my shop?” The honest answer depends on what happens around the bill. If you only need to print a correct GST invoice, many apps will do. If you also chase payments, track stock, send quotes, run jobs or have staff billing on phones, the choice narrows. This page is a checklist you can use on any product, with how BizOS answers each point and where it does not.
The checklist
Use this table on any product you are comparing. The right-hand column is how BizOS does it today.
| What to check | Why it matters | BizOS |
|---|---|---|
| GST correctness | A wrong split or title is a problem with your CA, not just a typo | GST follows your registration; titles print TAX INVOICE (registered) or INVOICE (not registered); CGST + SGST or IGST from the GSTINs. GST billing |
| Rates typed including GST | Shops agree a final price, not a pre-tax one | On by default: ₹17,000 typed bills exactly ₹17,000; stored pre-GST for returns |
| A customer copy without tax columns | Some customers want a simple bill | Print a GST-inclusive copy with the same total; the tax invoice is always one click away. Document design |
| Bill numbering per financial year | GST expects unique, consecutive numbers per year | Series with prefix, digits, suffix, {FY}-style tokens, yearly or monthly restart, continue from your last number. Document numbering |
| WhatsApp sharing | Customers live on WhatsApp | Bills, quotes, receipts and challans go as a no-login link; your own WhatsApp share is always free. WhatsApp |
| Payment links and UPI QR | Getting paid is the point of billing | UPI QR for the balance when your UPI ID is set; Razorpay links on your own account, reconciled by themselves. Payments |
| Payment reminders | Most dues are forgotten, not refused | WhatsApp reminders 3 days before, on, and 3 and 7 days after the due date by default, pausable per bill |
| Receipts and advances | Customers ask for a receipt; some pay before the bill | Every payment gets a RCPT- number; advances are held for the customer and applied later. Receipts & advances |
| Credit notes | Returns and price corrections happen | Credit note against an issued bill: reduces what is owed and puts stock back. Credit notes |
| Stock that moves with bills | A stock sheet that disagrees with sales is useless | Issuing a bill takes stock out; low-stock alerts; reorder lists to suppliers on WhatsApp. Items & stock |
| Several godowns, branches or GSTINs | Growing businesses outgrow one counter | Several godowns with Stock Plus; branches with their own address, numbering and stock, and other GSTINs, through the Branches add-on. Branches |
| Billing without internet | Shops lose signal | The web app creates invoices and quotations offline once the item list has synced; they upload once when you are back online. Speed & offline |
| Counter speed and barcodes | A queue at the counter costs sales | Keyboard-first Compact and Rapid layouts; a barcode scanner works in the scan bar |
| Printing | Thermal at the counter, A4 for B2B | 16 designs including an 80 mm thermal roll; print on your pre-printed letterhead |
| Staff access | Not everyone should see margins or cancel bills | Six fixed roles: Owner, Admin, Manager, Accountant, Office staff, Field technician. Team & roles |
| Tally compatibility | Your CA probably uses Tally | Live sync with TallyPrime, or a monthly Tally XML / Zoho Books file. Tally |
| GSTR-1 | Saves your CA re-typing the month | JSON for the portal and CSVs, per GSTIN, with a list of what to fix first |
| Data you can take out | You should never be locked in | Reports as CSV or PDF, accounting files, GSTR-1 files, the activity log, and the API module |
| A free tier and a clear price | Small businesses start small | Free platform, then ₹2,999 a year for Billing; modules only if you need them. Plans & billing |
What BizOS does not do in billing
Check these against your needs before choosing BizOS:
- No e-invoice IRN and no e-way bill generation. If e-invoicing is mandatory for your turnover, you need a tool that generates IRNs.
- No bill of supply for exempt sales by a registered business, and no composition-scheme setting. A GST-registered business charges GST on every bill (a 0% line still works).
- No debit notes, export or SEZ invoices, or reverse charge.
- No purchase bills with a supplier ledger. Stock coming in is recorded as a stock-in; payables stay in your accounting package.
- Rupees only.
- The app interface is in English. WhatsApp messages to customers can be in other languages through templates.
When is a billing-only app enough?
A billing-only app (products such as Vyapar or myBillBook are examples of the category) is enough when:
- you bill at a counter, get paid on the spot, and rarely chase money;
- you do not send quotations, take orders or do work at customers’ sites;
- one or two people bill, and nobody needs to work from the field.
BizOS covers that too, on the free platform or the Billing base, but its advantage is smaller there.
When do you need more than billing?
You need more than billing when the bill is the end of a longer story:
- Enquiries turn into quotes and orders. Leads, quotations and sales orders with advances and part billing.
- Work happens before the bill. Jobs on a technician’s phone, billed from the material and time on the job, and AMC contracts that plan every visit.
- Money has to be chased. Follow-ups, reminders and automations that stop when the bill is paid.
- Customers should come back. Campaigns and journeys on WhatsApp.
- Goods go out and must be acknowledged. Delivery challans the customer confirms from a link.
That is the case BizOS is built for: one app that runs the day, with billing as one part of it. See Where BizOS fits.

Common questions
- What is the best billing software for a small shop in India?
- It depends on what happens around the bill. For counter billing only, many GST billing apps are enough. If you also chase dues, track stock, send quotes, run jobs or have staff on phones, look for one app that does all of it. BizOS issues GST invoices, sends them on WhatsApp with UPI and payment links, chases payments automatically, moves stock with each bill, works offline in the browser and syncs with Tally, with a free platform to start.
- Does BizOS make GST-compliant invoices?
- BizOS issues tax invoices with HSN or SAC per line, the tax per line, and CGST plus SGST or IGST worked out from the seller's and customer's GSTINs. Numbers come from a series per financial year. BizOS does not generate e-invoice IRNs or e-way bills and does not file returns; it prepares the GSTR-1 file for upload.
- Is BizOS free?
- BizOS has a free platform for one user with up to 100 customers and 20 invoices a month. The Billing base costs 2,999 rupees a year before 18% GST and removes those limits. Other modules are bought only if needed, and every new business gets a 30-day trial with everything unlocked.
- Can BizOS print on a thermal printer?
- Yes. BizOS has an 80 mm thermal roll design among its 16 document designs, and receipts use it as well. Other designs print on A4 and can print on your own pre-printed letterhead.
- Can I bill without internet in BizOS?
- Yes, in the web app: once the item list has synced, invoices and quotations can be created offline and upload exactly once when the connection returns. Sending, recording payments and PDFs need a connection.
- Does BizOS work with Tally?
- Yes. With the Tally Sync module, a small Windows program on the Tally PC sends bills, receipts and credit notes made in BizOS into TallyPrime as vouchers, and can bring Tally's entries back. Without a live connection, the same module gives your CA a Tally XML or Zoho Books file.
- What billing features does BizOS not have?
- BizOS does not generate e-invoice IRNs or e-way bills, has no composition-scheme setting, no debit notes, no export or SEZ invoices and no reverse charge, no purchase bills with a supplier ledger, and bills in rupees only.
- When is a billing-only app enough instead of BizOS?
- When you bill at a counter, are paid on the spot, do not send quotes or do site work, and only one or two people bill. BizOS also covers that on its free platform, but its advantages show when you need to chase payments, run jobs, follow up leads or give staff their own access.
